The A/R and A/P Specialist is responsible for managing the financial transactions related to accounts payable and accounts receivable. Onboarding new clients and vendors, billing, processing payments, and entering job and purchase orders are all key aspects of this role.
Requirements:
Essential Job Functions, Duties, and Responsibilities
Reply to client correspondence and provide client credit references as requested.
Provide accurate and timely invoicing to clients within 48 hours of shipment or job completion.
Process client credit card payments, deposit checks, and process client refunds daily.
Apply client payments to A/R daily.
Review weekly aging reports by Account Executive; follow up with clients on aged balances to ensure timely collection.
Enter Election Services / GATHER supply orders weekly and create recurring PrintIQ jobs monthly.
Enter postage deposits on job tickets as deposits are received.
Enter vendor inventory invoices and match to open purchase orders and review expense invoices captured electronically for accuracy
Prepare weekly vendor disbursements for review and approval. Initiate disbursements within NetSuite.
Manage the full cycle A/R and A/P procedures, including but not limited to posting client payments and vendor invoices and monitor and respond to the A/R and A/P inbox.
Ensure all business process documentation is complete and accurate to support the billing / invoicing process.

Education and Experience
An associate's degree in Accounting or equivalent experience required.
