CleanJoule Inc., is a venture funded, SAF development company based out of Salt Lake City, Utah.Job Description: The Executive Assistant will support the day-to-day administrative and operational needs of the office to ensure a smooth workflow. This is a full-time on-site Executive Assistant position handling a wide range of administrative support tasks requiring the individual to work independently or with little supervision. The Executive Assistant will work alongside the Chief of Staff in order to provide support to the executive leadership team. This position also serves as the front office assistant supporting all levels of our staff and guests. This position requires an individual who is outgoing, friendly, efficient, organized, and one who maintains professionalism when interacting with guests and staff.Essential Job Functions: Greet all visitors and follow proper protocols for the specific purpose of the visit. Thoroughly understand, follow, and enforce all CleanJoule policies and procedures along with applicable laws and guidelines for employee privacy, confidentiality, etc. Assist in ensuring excellent organizational communication with staff and between departments to foster a positive company culture. Works closely with C-Suite, Directors, and the Chief of Staff, offering administrative support on specific assignments. Provides comprehensive administrative support, specifically to the CEO by assisting with calendar management, scheduling meetings, appointments, and travel arrangements. Prepare and edit correspondence, presentations, reports, and other documents with accuracy and attention to detail. Create GANTT charts in order to assist projects teams with visually mapping out their project plans. Organize and coordinate meetings, conferences, and special events, ensuring all logistical arrangements are handled efficiently. Assists with the coordination of company-related employee functions and Board of Director Meetings. Complete orders and re-stock materials in breakrooms and office supply locations. Implement and manage various ongoing and ad-hoc projects and tasks. Willingness to learn and perform new procedures, equipment, and technologies. Will assist with running errands as needed. Other duties as assigned.Minimum knowledge, skills, and abilities required: Displays a consistent record of success in achieving or exceeding assigned objectives while maintaining high levels of quality. Ability to juggle multiple timelines/tasks and prioritize them effectively. Must possess strong verbal and written communication skills, with an understanding of professional etiquette. Must maintain a high level of confidentiality, discretion, and tact at all times. Ability to follow instructions and work well with others in a team-oriented environment. Ability to multitask and problem solve effectively with minimal supervisor. Knowledge of office management systems and procedures including accurate data entry. Strong proficiency with MS Office (Word, Excel, PowerPoint, SharePoint, and Outlook) and other relevant software applications. Ability to "shift gears" at a moment's notice with a professional demeanor. Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment. Proactive attitude, with a strong sense of initiative and the ability to work independently with minimal supervision.Required Qualifications: High School Diploma or the equivalent. Associates or Bachelors degree in Business preferred. Minimum of 3 to 5 years of progressive experience in an executive or administrative support role, preferably supporting senior management. This position is described as sedentary exerting up to 5 to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to life, carry, push, pull or otherwise move objects. This is a position with repetitive motion requirements. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures, viewing a computer monitor, and extensive reading.
