Required Skills & Experience • 1 year of experience in a similar or related administrative role. • Demonstrated ability to juggle multiple and conflicting tasks in a fast-paced environment. • Strong written & verbal communication skills (internal & external). • Strong organizational skills. • Local to Grand Rapids, MI (in-office expectations 4x/week - Monday through Thursday). • 32 hrs/week on average - no expectations for travel or overtime.
General business hours will be around 8/8:30am-4:30/5pm EST.
Job Description • Calendar management (schedules and manages meetings in complex and matrixed environment) - anticipates needs and proactively manages conflicts in schedules. • Travel planning and management. • Expense management for executives. • Reporting/tracking as needed (i.e. membership, purchase orders, etc.) • Assist with meeting materials and preparation (presentation materials, aligning vendors, logistics, assisting attendees). • May assist executive with organization and people administrative tasks in myHR system. • Basic budgeting (using clients select application to enter, manage, and track budgets for the department). • Provides direct assistance to a business leader and works on special assignments related to leader's function. Manages access to leader, maintains and modifies leader's schedule. Ensures leader is made aware of issues that need immediate attention. Handles confidential business matters and maintains smooth operation when leader is unavailable.
