Organize, scan, and assemble important documents for various client engagements and business services.
Prepare and process business correspondence, including client engagement letters, proposals, and reports.
Coordinate and schedule client meetings, managing calendar invites and reminders.
Assemble and mail client documents and other essential materials.
Maintain and organize off-site storage documentation.
Provide comprehensive administrative support, including filing, faxing, scanning, preparing outgoing mail, and answering phone calls.
Manage data entry for records, maintaining accuracy and completeness.
Serve as back-up for reception, greeting clients, and managing inquiries.
Oversee office supply inventory and order replenishments as needed.
Handle various errands, such as local deliveries to the post office, FedEx, or client locations.
Assist with the preparation of presentations and meeting materials as assigned.
Support ad hoc projects and administrative tasks to facilitate smooth office operations.
Qualifications:
Must be a quick learner, organized, self-motivated, and detail-oriented.
Proficient in Microsoft Office Suite, especially Microsoft Excel and Word.
Strong customer service skills with professional phone etiquette.
Ability to multitask and work effectively in a fast-paced, deadline-driven environment.
Team player with strong collaboration skills, able to work with all levels of staff.
Excellent verbal and written communication skills.
Education/Experience:
Minimum of 2 years of experience in an administrative role, preferably within a professional services environment
