Job Description:

The Administrative Associate reports directly to the Assistant Dean and Director for Career Services. The position requires strong computer skills, the ability to multi-task and prioritize job responsibilities, excellent verbal and written communication skills, strong detail orientation, and a strong work ethic. The Administrative Associate works with indirect supervision. The Administrative Associate is the initial point of contact for all inquiries and requests made by walk-in traffic including faculty, staff, general public and university administrators.

30%

  • Uses Symplicity (customer relationship management system) to register and create schedules for students, employers and others participating in various programs and events, including, fall and spring on-campus interviews;
  • Responds to student inquiries on various matters, including navigating Symplicity system, uploading application materials and general assistance with office-related matters/questions;
  • Responds to employer inquiries on utilizing Symplicity system and involvement with CSO programming;
  • Manages alumni requests for Symplicity access and support;
  • Oversees job postings to ensure accuracy and current deadlines;
  • Facilitates external reciprocity requests;
  • Takes continued trainings as necessary to ensure understanding of system updates.

30%: Coordinates events/activities for current students and alumni, including, invitations, announcements, RSVP's and schedules for programs Career Exploration Series, On-Campus Interviews, Mock Interviews, Mentor Program, Legal Career Options Day.

20%: Provides assistance to the dean and director with general office support, including preparing letters and other correspondence for mailing or electronic delivery, managing the calendar of office activities/events, and responding to telephone calls and in-person requests as directed.

10%: Responsible for organizing, setting up, and tearing down events of various sizes, including early or evening hours as needed to prepare for such events, including preparation of facilities, making coffee, arranging for and delivering on-site meals for participants, and the setup and teardown of rooms used for such events.

10%: Handles updating employer contact lists; searches for jobs relevant to KU Law students and recent graduates; and performs other duties as assigned.

Position Requirements

  • This position works onsite at the School of Law.
  • The position requires the ability to work some early mornings and occasional late evenings in conjunction with events and programming schedules/demands.

Required Qualifications

  • High School diploma or GED equivalency and two years of office experience or two years of post -secondary education.
  • Minimum 2 years of experience using Microsoft Office, including Word and Excel as evidenced by application materials.
  • Excellent written communication skills and attention to detail, including ability to prepare final business correspondence, as evidenced by application materials.

Preferred Qualifications

  • Completion of undergraduate degree or 5 years of office experience.
  • 5 years of experience using Microsoft Office, including Word and Excel, as demonstrated by application materials.
  • Demonstrated successful experience in communicating effectively and comfortably.
  • Ability to work effectively within a team and across school and university sub-units, as evidenced by employment history.
  • Demonstrated ability to manage multiple projects at once, as demonstrated by employment history.
  • Familiarity with Symplicity and Microsoft SharePoint computer software, as evidenced by application materials.
