We are seeking an experienced and highly skilled AV (Audio-Visual) Project/Service Coordinator to join our team. The AV Project/Service Coordinator manages the coordination, execution, support and resource scheduling for AV projects and services across various industries, including corporate, education, healthcare, and government. This role requires a strong background in project management, excellent organizational skills, and in-depth knowledge of audio-visual technologies. The AV Project and Service Coordinator works closely with clients, internal teams, and vendors to deliver projects on time and within budget, while also providing ongoing service and support for AV systems.

Key Responsibilities:

  • Project Coordination and Scheduling:
    • Coordinate the planning and implementation of AV projects, from inception through completion, ensuring project timelines, budgets, and quality standards are met.
    • Collaborate with clients, internal stakeholders, and AV technicians and engineers to define project requirements and objectives.
    • Schedule and allocate resources to ensure projects are executed according to requirements.
    • Communicate with clients and internal teams to confirm AV needs and schedules, adjusting as necessary to accommodate changes.
    • Track project milestones, tasks, and deliverables, and maintain detailed project documentation.
  • Service and Support Coordination:
    • Serve as the primary point of contact for AV service requests, handling scheduling, troubleshooting, and escalation as needed.
    • Coordinate routine maintenance, repairs, and upgrades of AV equipment to ensure operational readiness.
    • Oversee service ticketing and ensure timely responses to AV-related issues. Escalate complex technical issues to the appropriate technical staff or vendors.
  • Client and Vendor Relationship Management:
    • Build and maintain relationships with clients, vendors, and contractors to support AV projects and services.
    • Oversee procurement processes for AV equipment and services.
    • Coordinate with vendors to schedule installation, testing, and training for new AV systems.

  • Budgeting and Reporting:
    • Manage budgets and financial forecasts for AV projects and services.
    • Track project expenses and ensure they remain within budget. Provide detailed reports on project costs, timelines, and outcomes.

  • Documentation and Process Improvement:
    • Maintain accurate and up-to-date records of all projects, service requests, and equipment inventories.
    • Provide feedback and recommendations for improving AV workflows and service quality.

Qualifications:

  • Education & Experience:
    • 1 to 3+ years of experience in AV project coordination, service management, or a similar role.
  • Technical Skills:
    • Understanding of AV systems, including video conferencing platforms, audio systems, control systems (e.g., Crestron, Extron, AMX).
    • Strong project management skills and familiarity with tools like Microsoft Project, Word, Excel and resource scheduling software.
  • Soft Skills:
    • Excellent communication and interpersonal skills with the ability to interact effectively with clients, vendors, and technical teams.
    • Highly organized with strong attention to detail and time-management abilities.
    • Ability to work independently and as part of a team.

Compensation:

  • Starting at $30.00 per hour (Full-time).
