Overview
Perioperative Schedule Program Management and Coordination:
Responsible for monitoring, coordinating and evaluating all surgical and non-surgical anesthesia cases and final schedule across multiple procedural locations. Oversees OHSU PSS to ensure that all surgical information received is accurate and executed on. Maintain in depth program knowledge and regulatory requirements. Apply program rules as cross check for multiple factors. Ensure regulatory compliance in application of program rules and identifies areas of non compliance.
Program Monitoring:
Monitoring program, extensively researches investigates and reports findings, makes recommendations for changes to leadership. Main point of contact for resource conflict and triage of issues. Compiles and writes summaries of program information for resource allocation.
Management of multi-line phones and group email box:
Responsible for answering calls received from individuals in numerous OHSU departments and off hill providers. Responsible for making sure each call is answered in a timely manner with minimal hold time and that the caller’s requests are attended to. Responsible for reading and responding to all email sent to the “group email box” throughout the day.
Responsibilities
Three years of experience administering or coordinating parts or subsets of a project or program.
A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.
Note: preference in hiring may be given in a special area specific to the position opening.
Job Related Knowledge, Skills and Abilities (Competencies):
Basic computer skills including word processing.
Windows applications, on-line scheduling, and a preference for data-base skills.
Excellent verbal and written communications skills.
Strong customer service orientation.
Demonstrated effectiveness in confrontational customer interactions.
Required high level of accountability.
Qualifications
Bachelor’s Degree or Additional Experience
Two years or more experience with Surgical Scheduling for multiple provider groups. Expert user of Epic Optime and case entry, including in-patient procedure coordination.
Experience with iQueue for Operating Rooms.
Three years of experience with responsibility for program or project monitoring and coordination. The experience must have included program evaluation responsibility. A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.
