We are seeking a reliable and organized part-time Administrative Assistant to support the execution of monthly meetings and social events for business leaders in Maryland.
Company: I am a solopreneur who works with CEOs in the Baltimore area. Twice a month I assemble a group of 15 CEOs for a full day meeting and I consult with each over the phone. I also hold quarterly marketing events to attract new members which typically consist of 50 attendees. I need someone who will be able to assist me onsite in Baltimore County.
Job Summary: This position will involve on-site event assistance during the first week of each month, along with remote administrative support throughout the rest of the month. The role is ideal for a candidate who is highly organized, detail-oriented, and able to manage multiple responsibilities efficiently.
Key Responsibilities: • Help in managing the schedule of the Chair (meetings, travel). • Coordinate and organize monthly meetings, workshops, and social events, including logistics (room scheduling, set-up/break-down), catering, track/manage attendance responses, and guest arrangements (directions/parking). • Handle incoming calls, emails, and correspondences, responding or redirecting as appropriate. • Prepare, edit, and reproduce documents, reports, and presentations. • Maintain accurate and up-to-date records and databases. • Help with additional administrative tasks as may be assigned.
Time Commitment: Approximately 20 hours per month, with the majority of the work front-loaded in the first week of each month for on-site event support. The remainder of the tasks, such as scheduling, can be completed remotely.
Qualifications: • Proven experience as an Administrative Assistant or in a similar role. • Ability to handle sensitive information with discretion and confidentiality. • Strong time management abilities, organizational skills, and attention to detail. • Excellent interpersonal skills with ability to communicate effectively both verbally and in writing. • Ability to work independently and remotely for most portions of the role. • Comfortable handling event logistics and working on-site for events. • Basic computer skills including proficiency with the Microsoft Office Suite, Google Office Suite, DropBox, and Canva.
Location: On-site presence in Baltimore and Columbia, MD required during the first week of each month for event setup and execution. Remote work for scheduling and minor administrative tasks throughout the rest of the month.
Compensation: $35/hour.
