Job Description:

Berman and Company is a dynamic, energetic, and creative PR firm looking for an Executive Assistant. The right candidate will work closely with the firm's three partners to coordinate scheduling, plan internal and external meetings, and oversee day-to-day office tasks, outreach, and database management.

The Executive Assistant will have a welcoming and professional demeanor and can greet guests and respond to inquiries, but also needs to be clever, firm, and discerning. This position is the bridge between the company and the outside world and we need someone who can help us put our best face forward.

The right candidate will be a detail-oriented self-starter who is eager for the opportunity to learn more about the public relations and advertising industry.

Role Snapshot
  • Front desk administration and receptionist duties such as greeting guests, receiving deliveries, answering multiple phone lines, mailing and shipping.
  • Coordinating scheduling for internal and external meetings, especially for the firm's three partners.
  • Planning work travel for staff when needed, and helping with marketing activities.
  • Database administration duties, including updating and maintaining accurate information in our company database.
  • Purchasing office/ kitchen supplies, and shipping supplies; Keeping an inventory of what supplies we have available; Ensuring the workroom and kitchen are properly stocked and sufficiently tidy; Tracking and monitoring expenses for supplies.
  • Liaising with the building's concierge desk, scheduling maintenance appointments with outside contractors.
  • Assisting with new employee onboarding.
  • Assisting on special projects, including research, writing, and outreach as-needed.

Competences Needed
  • Excellent phone etiquette and communication skills.
  • Strong attention to detail and organization.
  • A can-do attitude, even when facing unfamiliar tasks.
  • Ability to learn quickly in a fast-paced environment.
  • Knowledge of the suite of Microsoft products, especially Word and Excel.
  • Knowledge of shipping through USPS and FedEx.

Ways to Stand Out
  • Knowledge of marketing and advertising industry and experience in email marketing.
  • Experience working as a receptionist or assistant.
  • Passion for free markets.
