Headwater is a technically-driven mineral exploration company focused on exploring for high-grade gold deposits in the Western USA. Headwater has a large portfolio of exploration projects and a technical team of experienced geologists with diverse capital markets, junior and major mining company backgrounds. The Company is systematically drill testing multiple projects in Nevada, including several projects in partnership with Newmont Corporation.
Role Overview
As our Office Manager and Administrative Assistant, you'll play a pivotal role in ensuring smooth office operations, supporting our CEO and team of exploration geologists, and facilitating new business development initiatives. From administrative support tasks to financial and vendor management, you'll have a hand in all aspects of our business activities while benefiting from the fun and flexibility of working with a small dynamic team.
Key Responsibilities
Maintain organized office systems, both electronically and via paper filing.
Provide administrative and clerical support, managing communications and procurement of supplies.
Oversee office facility maintenance and handle incoming/outgoing mail.
Manage calendars for business appointments, conferences, and trainings.
Draft, review, and manage service contracts, leases, confidentiality agreements, and other business contracts.
Prepare and record land documents with state and local entities and arrange and track timely completion of land payments.
Prepare annual mining claim maintenance filings including facilitating payments to state and local offices by coordinating with the Finance team in Vancouver.
Perform Notary Public duties and assist geologists as needed.
Manage aspects of journey management via Everywhere online platform, and coordinate other corporate health and safety programs.
Coordinate with President and VP of Exploration to place surety bond instruments for projects, which includes maintaining tracker for company.
Support for the Finance and Accounting team to help handle incoming invoices and other AP related items by serving as a liaison between the Reno team and Vancouver office.
Additional projects as requested by management.
Qualifications
Experience in office management and accounting support.
Bachelor's degree in business administration or related field ideal, not required.
Strong organizational skills with attention to detail.
Proactive and resourceful mindset.
Excellent communication skills, both written and verbal.
Notary Public designation preferred.
Ability to thrive in a fast-paced, evolving environment.
Time & Compensation
Base hourly rate of $30/hr, negotiable based on experience.
Time commitment a week will range from 25-30 Hours.
This position will be paid as an independent/1099 contractor.
