Associate, Facilities
Job Description:
The associate manages warehouse inventory and coordinates the renting and selling of in-house tools and materials for job sites and regional offices. They are responsible for ordering janitorial supplies for all local HITT properties. Additionally, the facilities associate handles the oversight, maintenance, and coordination of janitorial needs for HQ, Co|Lab, and The Shed. This role involves supervising all warehouse operations and supporting the Facilities Manager with conference room and event setups, including tables and chairs, both onsite and offsite. The associate ensures that all warehouse operations are conducted safely and efficiently, with a focus on maintaining accurate inventory, administering expenses, and facilitating smooth logistical operations. This position works Tuesday through Saturday and reports to the Facilities Manager.
Responsibilities
Financials
Purchases and replenishes construction materials at competitive prices for warehouse stock.
Codes assigned vendor invoices for warehouse materials, tools, and janitorial supplies in DocuSphere.
Warehouse Administration
Utilizes Tool Watch inventory tracking software to track material transfers and tool rentals for jobs, updating records daily.
Processes PPE, tools, and warehouse materials orders for job sites and regional offices.
Provides quarterly reports on warehouse sales and inventory to the Facilities Manager.
Manages and organizes warehouse inventory to ensure items are easily located and secure.
Assists service technicians and trade partners who arrive on-site without a point of contact and determines whom they are visiting.
Contacts Tenants if they have a service representative onsite and ensures the representative remains in the warehouse until they are escorted to the designated location.
Assists FedEx and UPS to ensure all outgoing packages in the warehouse are picked up and notifies the production team if that does not occur.
Receives and checks all incoming deliveries and notifies team members that they have received a package.
If incoming packages arrive without an addressee, does investigative work, such as calling senders or vendors to determine who the package belongs to.
Facilities Support
At the direction of the Facilities Manager, sets up tables and chairs for all scheduled meetings and events at HQ, Co|Lab, and The Shed.
Responsible for monitoring, ordering, and stocking all janitorial needs and supplies at HQ, Co|Lab, and the Shed and for ordering and stocking them.
At a minimum, visits The Shed weekly to check that everything is orderly and operational in the hallway and restrooms.
Notifies and makes recommendations to the Facilities Manager, regarding needed repairs and maintenance at Co|Lab and The Shed.
In coordination with the Facilities Manager, assists with changing toilet batteries and light bulbs in the building.
In coordination with the Facilities Manager, installs and removes furniture from offices and conference rooms such as filing cabinets, chairs, standing desks, etc.
Ensures safe and clean walkways, garage, loading dock areas, and parking lots, including snow removal, debris clearance, and bird dropping removal.
Saturday Coverage (5:00 am - 1 pm)
Opens the warehouse from 5:00 am - 7:00 am and provides support to team members who may need materials, rentals, or return equipment. During this time,
Assesses the returned equipment and tools and logs any noticeable damage.
Resets the HITT Way after Red Bucket and ensures the room is ready for use Monday morning. Returns all equipment to the warehouse and preps it for the following week.
Empties all refrigerators and puts away lunch bags in the designated location for the Office Manager to address.
Replenishes all hand sanitizer and sanitizing wipes in all designated stations.
Goes to the post office, retrieves mail, and places it on the reception desk.
Walks HQ, Co|Lab, and the Shed buildings with an eye for leaks or other noticeable repairs and notifies the Facilities Manager of any issues on the premises.
In the event of leaks, damage resulting from inclement weather, power outages, and others, the associate notifies the Facilities Manager and addresses emergencies as needed.
Qualifications
2+ years of general facilities, warehouse, and office maintenance
2-3 year's knowledge of green products, preferably a Class A building
Software proficiency-able to adapt to and learn how to use project-specific software systems, including:
Microsoft Office suite (ex. Excel, Word, Outlook, PowerPoint, etc.)

DocuSphere
Bilingual English/Spanish preferred.
OSHA 10 certification within the first 60 days
Forklift operator certification within the first 30 days
