Job Description Summary

The Student Records Coordinator will be responsible for handling all room reservation requests that come through the reservation system for GSE events, meetings, etc. throughout all four GSE buildings. This position will oversee and work closely with the GSE Facilities department on event setup and coordinating with housekeeping and security services to ensure that all spaces are prepared. This position will assist the Associate Registrar with course rostering, classroom scheduling, doctoral hearings, and registration management for the school. This position will have a key role in managing student records and supporting GSE's management of its space. This position will collaborate with many programs and departments both across GSE and Penn.




Job Description





Responsibilities



  • Managing room reservations through various systems - Ensuring that all reservations are responded to in a timely manner based on space prioritization. Addressing and resolving complex issues as they arise based onspace and managing priorities. Managing the hoteling system, Robin, and ensure that hoteling needs are being met. Evaluate current processes in place and make necessary adjustments for efficiency and high-quality customer service. Ensuring that the processes and procedures are clearly communicated with the GSE community and adhered to.

  • Support the Associate Registrar with course rostering, room scheduling, doctoral hearings, registration management, and other student records data management. Updates the GSE event calendar and bulletin board with hearing/defense dates. Shepherd dissertation committee requests and hearing/defense ballots through workflow system, following up with stalled submissions as necessary.

  • Oversee event set up in partnership with GSE Facilities to ensure that all housekeeping and security needs are established before the event. Develop systems and protocols to coordinate the resources necessary for GSE events.

  • Maintain student records and provide exemplary customer service to the GSE community. Process enrollment and degree verifications, support the day-to-day operations of the GSE Student Records Office. Interface with students, staff, and faculty to answer questions and assist with challenges regarding course registration, classroom requests and scheduling, and general information requests. While upholding the utmost discretion, provide immediate customer service for a variety of student requests, needs, etc. related to student records management.

  • Perform additional duties as assigned.






Qualifications



ESSENTIAL:


  • A High School diploma/GED and 5 years of experience, or equivalent combination of education and experience.

  • Experience managing conflicting priorities and requests.

  • Experience handling sensitive or confidential information.





PREFERRED:


  • Experience working at a higher education institution

  • Experience using a scheduling system

  • Experience resolving complex space issues.

  • Experience using Robin hoteling system.

Expected Salary Range:
$52,000 - $55,000, commensurate with experience.
