The University of Miami/UHealth Department of Sports Medicine is currently seeking a full time Clinical Program Coordinator to work in Coral Gables, FL. The Clinical Program Coordinator assists in the development, organization, production and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Provides general oversight over daily program operations in support of the University's mission, including the direct supervision of volunteers. Monitors the financial performance of programs to meet departmental goals, and assists with short- and long-range budgetary planning.
CORE JOB FUNCTIONS
Evaluates program effectiveness; analyzes results and recommends and/or takes appropriate action; coordinates program activities with other program, department or staff activities, ensuring optimum efficiency and compliance with appropriate policies, procedures, specifications and funding limitations.
Trains, develops and empowers staff to effectively perform their jobs; confers with and advises staff, students and others, providing technical advice, problem solving assistance, answers to questions and program goals and policy interpretations.
Acts as a main point of contact for project funders, advisors, speakers and participants; recruits program participants, members and volunteers.
Develops cooperative/therapeutic relationships with patients and families representing a variety of populations, projecting a positive and cooperative image; creates a calm, professional atmosphere that promotes productivity and a positive image.
Develops program communications and promotional literature for distribution including newsletters, brochures and flyers, coordinating the process from development through printing and distribution.
Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
Maintains patient confidentiality as well as the confidentiality of hospital business information.
Accountable for maintenance of established supply levels, including but not limited to unit and supply rooms.
CORE QUALIFICATIONS
Education:
Bachelor's degree in relevant field
Experience:
Minimum 2 years of relevant experience
Department Specific Functions
Assist with coordinating the Department's OR utilization schedule to ensure compliance with University policies and guidelines.
Optimize the use of Orthopaedics OR Block Time:
-Assist in strategizing with Chair, Vice Chair of Clinical Operations and SAO the use of OR time to create, develop and maintain communication within the Department to provide visibility, access to unused block time and ensure optimal utilization of block time.
Work with the Faculty and Surgery schedulers to push backlog volumes into unused block time. Accommodate those patients that clinic cancellations falls in 45-day window
Monitor and update the release schedule for Orthopaedics Cases.
Work with Faculty and Surgery schedulers to move and open block that are below times
Coordinate the implementation and maintenance of the Olive scheduling authorization program.
Ensures employees comply with all University, Hospital, and Departmental policies.
Assist with recruitment and onboarding process for physicians to the OR in collaboration with OR site leaders
Coordinate the revision department policy and procedure manual as related to Orthopedic Surgery Scheduling
Research and make recommendations on commercially available software (Docspera, LeanTaas) to determine if these systems can assist with automating the use of wait listing to fill cancelled OR slots
Receive incoming referrals and collaborate with administrative and clinical teams to schedule patients appropriately and in a timely manner
Receive VIP/HPP and escalated appointment and collaborate with administrative and clinical teams to schedule patient appropriately an in a timely manner
Assist the department with updating Decision Tree to improve clinic template scheduling accuracy
Assist with the development, implementation, and revision of protocols for clinic template scheduling accuracy and train/educate ancillary staff in protocols
