Job Description Summary
This position performs a wide variety of technical and administrative duties requiring specialized knowledge of College planning and accreditation, institutional reporting, College-wide processes, procedures and policies, and state and federal policies. This position also provides oversight and coordination of various processes and projects within College Effectiveness Administration and provides administrative support to the Associate Vice President (AVP) of College Effectiveness and Accreditation.
Job Description
Essential Functions and Responsibilities
The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily to be qualified for the position. Other duties may be required and assigned.
Operational and Strategic Support
Coordinate the workflow of the College Effectiveness office. Organize and maintain department operations and office procedures. Provide a variety of support functions, including administrative support to the AVP of College Effectiveness and Accreditation.
Serve as administrative liaison to the AVP, managing incoming requests and questions as appropriate.
Process and maintain College memberships, registrations, and organizational documentation.
Manage central records, master files, and records retention processes for College Effectiveness.
Monitor College Effectiveness budgets and facilitate necessary purchasing and invoice payments.
Assist AVP with special projects such as developing specialized informational reports and presentation materials.
College Accreditation
Assist in the coordination and planning of the College regional accreditation process, developing and maintaining institutional timelines and additional accreditation resources.
Actively support the collection, organization, and verification of accreditation evidence documents to ensure compliance with Higher Learning Commission criteria, assumed practices, and federal compliance items.
Assist in the planning and execution of accreditation events, including site visits, training sessions, and workshops, including venue coordination, technology setup, and resource distribution.
Develop, maintain, and implement improvements to College Effectiveness and Accreditation technology resources and communication channels, including distribution lists, MS Teams Channels, SharePoint, etc.
College Planning and Continuous Improvement
Assist in the organization and presentation of data related to strategic initiatives and continuous improvement efforts. Create visual aids to support reports and dashboards.
Coordinate the development and maintenance of College Planning dashboards to monitor progress toward the achievement of Strategic Plan Measures and College Priorities.
Coordinate travel arrangements via Concur. Be knowledgeable of College travel policies and procedures. Coordinate calendars, schedule meetings, travel arrangements, itineraries, conference registration, etc.
College Compliance, Research, and Reporting
Maintain a tracking system for key compliance timelines and reporting deadlines, ensuring the timely submission of required documents.
Assist AVP in the planning, development, coordination, and dissemination of annual reporting, including strategic planning, college compliance, college reporting, statutory purpose monitoring, and additional reporting for the College community and the FVTC Board of Trustees.
Support College survey processes, including the support of key stakeholder surveys and additional internal feedback needs.
Data Governance
Coordinate the creation, alignment, and communication of the College data governance model and associated resources.
Coordinate the communication of WTCS policies and procedures related to data governance and data definitions.
Minimum Qualifications
Education and/or Experience Requirements:
Associate degree in related field, AND
Three years of experience working in an institution of higher education, OR
An equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
Advanced skills in Microsoft Word, PowerPoint, Excel, and SharePoint are required.
Intermediate skills in Adobe Acrobat are required.
Advanced oral and written communication skills, including strong composition skills are required.
Demonstrated ability to navigate a variety of complex issues requiring analysis, problem solving, and sound judgement is required.

Work Environment
Work will be completed in a hybrid environment, both in person and virtually.
A significant amount of time will be spent working on a computer, balanced with other tasks to support overall departmental goals.
Requires occasional adaptability in work hours to support key events, project milestones, and evolving departmental priorities.
The work environment may change based upon college needs.
Physical Requirements
Sitting: This role requires extended periods of sitting while performing tasks and utilizing computer systems.
Mobility: While much of the work is desk-based, occasional mobility may be necessary for attending meetings or events within the workplace.
Fine Motor Skills: This role may need precise hand movements or manual dexterity for activities such as notetaking and the use of computer and office equipment.
Repetitive Motions: Capacity to perform repetitive motions, such as typing, without discomfort or injury.
Communication: Clear verbal and written communication skills are essential for interacting with internal and external stakeholders, both in-person and through electronic means.

Additional Information
Pay Rate: $24.53 per hour.
Pay is based on a multitude of factors, including experience, qualifications, education, relevant certifications, internal equity, and market data. Note: Internal applicants' wage will be based upon the applicable compensation guidelines.
