POSITION PURPOSE:
The Receptionist answers the main phone lines, directs all calls to the appropriate departments, and orders and maintains office supplies. This position provides the necessary information and materials to applicants and customers. Additional duties include, but are not limited to greeting visitors, and interpreting/translating for Spanish speakers.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Employee shall perform all duties and responsibilities with Sunland's Core Values at the forefront.
Must be an advocate of safety and follow safety policies and procedures.
Be the company's first and best impression with customers.
Direct callers courteously into the company's voice-mail system and correct destination.
Interpret/translate for Spanish-speaking visitors, customers, and applicants.
Project Take-offs , Client Site Maps , Project Phasing Maps
This position will back-up the Dispatcher and Sales Coordinator Positions.
Review written materials, documents and information translated from English to Spanish for accuracy and common terms.
Collect and distribute mail, messages, and other written communication; prepare outgoing mail.
Process pre-employment screening candidates.
Manage walk-in applicants and upload incoming applications to the applicant tracking system.
Become proficient in the use of all office equipment such as, the photocopier, fax machine, postage machine, computers, etc.
Compile, distribute and mail proposal/brochure booklets.
Scan all invoices for Accounts Payable.
Mail out vendor and leasing payments every Friday.
Mail out customer billing invoices and assist with Accounts Receivable administrative tasks.
Maintain the outlook calendar for the office; schedule all necessary meetings on the calendar.
Order supplies and materials for the office.
Oversee general office and break room order and cleanliness.
Type memorandums letters, correspondence, reports and other documents.
Assist Human Resources and Accounting with any duties necessary.

SAFETY:
This is considered a non-safety-sensitive position but is subject to the company's drug and alcohol policy, as well as all OHSA regulations.
All employees must wear the appropriate personal protective equipment (PPE) when required.
Serves as a safety ambassador by complying with federal, state, and local laws, as well as Company safety policy, enforces safe work practices, and proactively identifies and remedies worksite hazards.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
This position operates in a professional office environment that routinely uses standard office equipment requiring the ability to communicate in person and over the telephone with other employees, the ability to interpret printed materials and a computer screen, the stamina to maintain attention to detail despite interruptions, the ability to lift and carry supplies and files weighing up to 10 pounds and to move about the inside of the office to access supplies, office machinery, etc.
May be required to work on a project site and if so, would be exposed to all weather, including extreme hot and cold temperatures.
Employee may be exposed to various chemicals, vapors, pollutants, virus or other air-borne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines and dust/debris.
POSITION TYPE/ EXPECTED HOURS:
This is a full-time position. Occasional overtime may be required as job duties demand.
TRAVEL
Minimal travel required with advanced notice.
MINIMUM QUALIFICATIONS:
Education and Work Experience
A high school diploma or GED is preferred.
Six (6) months to one (1) year related experience; or equivalent combination of education and experience is preferred.
Must be a critical thinker who proactively anticipates problems and is solution oriented in approach.
Must be fluent in English, i.e., must be able to speak, read and write English.
Bilingual: Spanish Fluency required, must be able to speak, read and write Spanish.
CERTIFICATIONS, LICENSES & REGISTRATIONS:
A valid driver's license and a clean motor-vehicle record preferred.
Passing a pre-employment drug and alcohol screening and background check is required.
