The Department of Surgery is the 3rd largest department within Indiana University School of Medicine (IUSM). The Surgical Outcomes and Quality Improvement Center (SOQIC) is a collaborative health services, outcomes, health policy, and quality and safety improvement research enterprise of more than 25 faculty, fellows, and staff. Our research spans all surgical specialties and areas of medicine, with a particular focus on general surgery, surgical oncology and multidisciplinary oncology care, trauma/critical care, and vascular surgery.
Job Summary
The SOQIC within the Department of Surgery is seeking an Administrative Assistant to provide direct administrative support to research faculty.
Department-Specific Responsibilities
May handle special projects with guidance from supported faculty to help move forward initiatives important to the evolution and growth of SOQIC and the Department of Surgery.
Partners with current Program Management Specialists and Administrative Assistants.
Provides day-to-day administrative support to assigned faculty, manages calendar, drafts correspondence, schedules travel, updates CV and other documents, prepares agendas and meeting minutes, assists with processing expense reports, reimbursements, society/meeting dues and registrations.
Assists the Administrative Director and assigned faculty members with programmatic initiatives. Ongoing initiatives include, but are not limited to, the SOQIC Resident Research Program, managing the Center's social media presence, planning Center-wide retreats, and team-building activities.
General Responsibilities
Provides administrative support to executives, exercising confidentiality, tact and diplomacy.
Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.
Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately
Manages executive's calendar, meetings, travel, correspondence, and budget.
Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries
Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.
May perform other duties related to maintaining an internal website and/or working with social media.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary
$46,000 - $50,000 per year based on experience.
