CORE JOB SUMMARY
The Program Coordinator (A) coordinates day-to-day operations of the program. Moreover, the incumbent assists with the development, organization, production, and evaluation of the program to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.
CORE JOB FUNCTIONS
Acts as a liaison to program constituents. Assist with the preparation and/or delivery of program content. Facilitates collaboration between different schools, community agencies, and/or academic support units throughout the University. Coordinates the collection, compilation, and analysis of program activity data. Drafts comprehensive, statistical, and/or narrative program reports and evaluations, and monitors program effectiveness, making suggestions for revisions when appropriate. Coordinates the scheduling of program components. Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings. Assists with the development and implementation of program marketing. Provides assistance and support for participants and/or program constituents in all administrative aspects of the program and maintains files and/or program data. Adheres to University and unit-level policies and procedures and safeguards University assets.

DEPARTMENT ADDENDUM
Department Specific Functions
Graduate Education
Processes graduate clearances and ensure policy compliance in all cases
Utilizes CaneLink and liaises with graduate program administrators across the university to ensure that students have met the requirements for degree conferral; may include consulting with the Office of the Registrar for degree postings
Serve as the Graduate School point of contact for Grad Slate by working closely with Enrollment Management on the administration and maintenance of Grad Slate for graduate programs across all Schools/Colleges at the university including:
Attending Grad Slate training
Reviewing and approving graduate program applications changes as requested by the leadership of individual programs to confirm they meet University and Graduate School policies
Providing reports for fee waivers
Issuing refunds when necessary
Troubleshooting issues and communicating with Grad Slate liaisons and help desk
Manages OnBase (the online data management system) access for graduate program staff and faculty
Providing training to graduate programs when necessary
Uploading, filing, and storing graduate student documents in OnBase
Processes submitted graduate student request forms (e.g., petition for transfer of credit, admission to candidacy, application for undergraduates to take graduate level courses, etc).
Assists the Director with the teaching assistant orientation and sexual assault prevention trainings for graduate students including:
Tracking completion and compliance
Removing training holds from students' accounts
Assist with Graduate Council meeting preparation and record keeping
Attending monthly Graduate Council meetings
Unit Support
Monitors the Graduate School email inboxes daily
Responding to requests
Filing completed emails and requests
Contributes to periodic reports such as benchmarking operations/best practices at peer institutions
Maintains Graduate School standard operating procedures related to assigned tasks
Other duties as assigned.
