Position Summary


Basic Function


The position reports to the Senior Events Coordinator and manages career fairs and other career events; develops and executes marketing plans and initiatives for Career Services; supervises and trains a highly functional group of student interns and event coordination teams to plan and execute large recruiting events; assists with development and monitoring of recruiting program budgets, utilizes Handshake to manage events and on-campus recruiting; report generation.



Characteristic Duties and Responsibilities



  • Develops, plans, coordinates and manages all aspects of the assigned events and on-campus recruiting activities for Career Services.

  • Utilizes the Career Management System and Excel to maintain the records of career fairs, on-campus interviews, and assigned company events.

  • Contributes to the unit's event budget development and monitors, analyzes, and reconciles projected and actual revenue and expenses; alerts the Director of Employer Relations and Communications of any significant anticipated changes in event activity, revenue, and expenses.

  • Recruits, hires, schedules, trains, and supervises student, and volunteers for events and recruiting activities to ensure high quality service and program execution accuracy.

  • Recommends, develops, and conducts training programs for interns, staff, and volunteers as it relates to event and recruiting management.

  • Coordinates, evaluates, and prepares reports on event and recruiting activity; makes recommendations to Director and other stakeholders to maintain or improve event and recruiting programs and outcomes.

  • Contribute to the development and execution of a student and employer communications and marketing strategy for career fairs and other key events, through newsletters, social media, email marketing and print collateral.

  • Utilizes the Career Management System and other systems to market interview opportunities and events to students and employers to ensure high levels of engagement and attendance.

  • Maintains health and safety standards to ensure compliance with University, State, and Federal rules and regulations.

  • Schedules meetings with staff, departments, and clients as needed to ensure event and recruiting processes and goals are communicated and understood by all stakeholders.

  • Acts as a liaison between vendors and Career Services to obtain required space and materials to execute events and recruiting programs.

  • Represents Career Services as requested at employer meetings and events.

  • Collaborates with campus partners and CSN staff to assure programming consistency.

  • Ensures student and employer activity data is collected within established department and University protocols and procedures.

  • Faculty/Department Administrators/Other Staff - to receive direction, exchange information, coordinate and evaluate projects.

  • Students, and Volunteers - to provide instruction, coordinate work, resolve problems, and exchange information.

  • Public - to provide services, products, exchange information and perform public relations activities.

  • Vendors/Suppliers - in order to acquire materials and supplies and maintain inventory.

  • Employers-to provide instruction, coordinate work, resolve problems, and exchange information.



Responsibility for the Work of Others:

First-level supervision over students.



Responsibility for Health/Safety of Others:

This position has limited responsibility for the health and safety of others. Responsibility includes instructing and overseeing applicable safety standards.



Impact on Programs/Services/Operations:

Reporting incorrect information could negatively affect the decision-making process for the Central Administration of the University and cause poor short- and long-term plans to be made.



Work Environment:

The job requires moderate physical exertion including prolonged standing, walking, hand/eye coordination, and occasional lifting of 26-75 pounds.

Minimum Requirements

Knowledge equivalent to that which would normally be acquired in a four year college degree in Public Relations, Communications, Business or in an area related to the work being performed; one to three years of related and progressively more responsible and expansive work experience in a field related to the position including planning and managing special events; or an equivalent combination of education and experience. May require experience in word processing, database, spreadsheet, desktop publishing and/or presentation software. Position may require software specific to the operational activities of the employing unit.


Requires a valid vehicle operator's license.

Desired Qualifications

Project management experience including project budgeting. Proficient in Microsoft Office products especially Outlook, Word, and Excel. Experience with Adobe Photoshop and InDesign. Training experience. Demonstrated ability to interpret and present information clearly and accurately in writing and verbally to diverse audiences. Ability to manage multiple projects and meet deadlines. Provide excellent customer service. Ability to adapt to emerging and changing needs of the department and other stakeholders. Self-starter.
