Department Information



University Enrollment Services (UES) supports the academic and student services missions of Indiana University by developing, coordinating, and managing university-wide shared services in the areas of admissions and transfer operations, financial aid, student records and data management, and military and veteran affairs. UES works closely with campus-based partners to enhance customer service; implement best practices; drive student-related technology development; comply with federal, state, and institutional guidelines; and support their overall enrollment and retention goals. This team uses data to identify new opportunities and to prioritize work, which drives innovation and creates efficiency across the University.



Job Summary



Department-Specific Responsibilities


  • Assists with the process to interview, select, and train temporary employees each processing cycle.

  • Acts as direct supervisor to assigned staff, performing periodic employee reviews and approving schedule changes and time reporting.

  • Continuously monitors the quality assurance workflow queues, prioritizing and assigning daily work to data entry support staff.

  • Researches and resolves discrepancies immediately to meet application processing and credentials evaluation turnaround time goals.

  • Provides data entry validation and quality assurance review as academic documents are processed; provides immediate and timely feedback to temporary and support staff, decreasing the error rate.

  • Acts as primary contact and oversee work of temporary and support staff to ensure that they accurately review and enter data from high supporting documents, which are not at all uniform from one applicant to another.

  • Maintains and manages the external problem reporting system used by all IU campuses use to report admissions data issues and work towards resolution.

  • Acts as liaison to campus admissions staff in the resolution of processing problems and errors.

General Responsibilities


  • Directs, manages, and monitors the business process design and workflow for the credentials analyst processing staff. Services include the processing and recording of transcripts and grades, evaluation and determination of residency classifications, maintenance of documentation and the knowledge base, and communications with students and the public.

  • Ensures prompt, accurate, and efficient individual services to students, faculty, and staff and that operational practices are integrated into the processing cycles of other university departments whose services and operations include related and dependent activities.

  • Provides general direction for staff, allocates resources, performs performance evaluations, determines the sequence of events, and generally manages the workflow, services, and timelines for the operations ensuring that workflow is responsive and integrated into the overall departmental goals and timetables.

  • Trains new and continuing staff regarding the evaluation and procedures of high school and college transcripts and credit transfer articulation database functions.

  • Represents the department and serves as a content expert on credentials analysis, residency rules, admission application flow and business processes for both current operations as well as modifications and revisions to policy, procedures and/or software.

  • Represents the admissions function in determining the best resolution, gathering information, consulting with stakeholders, and admitting or denying admission to students based on the analysis.

  • Analyzes individual situations on a case-by-case basis , administering and interpreting university policy, and exercising professional judgment on the more problematic or unique situations regarding credit articulations and/or residency rules.

  • Provides guidance and direction to staff regarding policies and procedures; ensures proper processing of admissions credentials; serves as a resource on problems or issues; and responds to information requests and inquiries.

  • Contributes to the development of new university policies and procedures relative to articulation and transfer agreements, course equivalencies, and residency interpretations.

EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE

  • 4 years of office or related experience

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
