Context of the Job:

Under the general direction of the Senior Assistant Dean this position advises students regarding information, procedures and academic requirements of majors and minors in The College of Earth, Ocean, and Environment (CEOE). The advisor works cooperatively with the Senior Assistant Dean to set goals and propose solutions to advising issues that affect the quality of services to undergraduate students in CEOE.

Major Responsibilities:

  • Advise freshmen to junior students in all CEOE majors.
  • Interpret policies, explain academic standing, review transfer credits and transcripts, and provide general guidance on academic matters including course scheduling, registration and academic /career options.
  • Maintain advising assignments. Provide support and referral services to students, working with offices such as the Office of the Registrar, Disability Support Services, UD Careers, Academic Enrichment, and other auxiliary offices on campus that support student success. Make appropriate referrals to the Academic Program Manager as needed for additional support.
  • Serve as a contact for prospective students calling the office to inquire about available programs; answer questions accurately and completely and refers prospective students to appropriate faculty members as needed for further information.
  • Maintain confidential medical documentation and issue excused absence notification on behalf of the Senior Assistant Dean.
  • Assist with the processing of course substitutions through UDSIS Course Directives.
  • Assist in coordination of on-campus college-level visits for prospective students.
  • Provide support for all aspects of CEOE New Student Orientation for both undergraduate and graduate students.
  • Attend and assist with major undergraduate events as needed including Convocation, Honors Day, Major Mania, Blue and Golden Saturdays, and Decision Days.
  • Correspond with students, faculty, and staff regarding academic deadlines throughout the academic year.
  • Utilize Blue Hen Success to note advisement interactions, conduct targeted advising campaigns, and conduct proactive, targeted outreach to undergraduate students.
  • Send reminder emails to students regarding important academic opportunities.
  • Oversee all report requests for undergraduate information; pull administrative reports.
  • Advise students, faculty, and staff on the transfer credit evaluation process and procedures; refers students to webpage.
  • Perform other job-related duties as assigned.

Qualifications:

  • Bachelor's degree with three years of related experience, or equivalent combination of education and experience.
  • Experience in academic advising in higher education.
  • Ability to grasp, retain and disseminate an extensive, varied and dynamic body of information.
  • Ability to handle highly sensitive activities with confidentiality, work independently and/or as part of a team, adapt to change and maintain flexibility working with two colleges.
  • Working knowledge of college student counseling and advisement practices at the university level.
  • Ability to evaluate student transcripts and/or records.
  • Ability to communicate to students curricular and graduation requirements.
  • Strong analytical and critical thinking skills.
  • Ability to analyze, summarize and effectively present data.
  • Effective leadership, organizational, interpersonal and oral and written communication skills.
  • Ability to present information effectively to groups and to work productively with a wide range of constituencies in a diverse community.
  • Proficiency with PowerPoint, Excel, and Word.
  • Proficiency with a student information system.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures and backgrounds.

Special Requirements:

  • Will be required to occasionally work evenings and weekends.
