What will you do?

Coordinates all facets of Shipping of ASCO products and oversees all activity at shipping areas ATS area and Reynosa area. Interface between numerous departments to track and coordinate, outbound, interplant, and third-party shipments (domestic and international). The shipping supervisor plays a pivotal role in managing the shipping process, maintaining high standards of efficiency, accuracy, and compliance, and contributing to customer satisfaction through reliable and timely delivery of products.

Safety:


  • The shipping supervisor is responsible for conducting regular safety training sessions for shipping personnel. This includes instruction on proper lifting techniques, the safe operation of material handling equipment, and the use of personal protective equipment (PPE) such as gloves, safety glasses, and steel-toed footwear. They also ensure that all staff members are familiar with safety protocols and regulatory requirements.

  • In the event of a safety incident or near-miss, the shipping supervisor leads the investigation to determine the root cause and implements corrective actions to prevent similar occurrences in the future. They also ensure that all safety incidents are properly documented and reported as per regulatory requirements.


Team Management:


  • Carry-out the day-to-day operations, offer expertise, encourage teamwork and coordinate work processes to achieve high performance standards, meet established targets and engage employees.

  • Develop performance objectives in coordination with management and continuously conduct progress towards departmental and strategic objectives and implement periodic performance reports to offer evaluation results and recommend improvements.

  • Assures the smooth relationships with ASCO's daily preferred carriers and schedules various special transportation requests from the sales offices or customers.

  • Train employees to enable them to increase their involvement and self-direction.

  • Participate in the selection/interview process to fill vacant worker positions.

  • Keep employees informed of the company rules and regulations, production, and quality expectations. Issue warnings and other approval disciplinary measures when necessary. Encourage employee communication and endorse an open-door policy.

  • Export compliance - Maintains proper guidelines for document storage per the Schnedier and US Customs record retention policies.

  • Creates proper export documents to facility shipping personnel and freight forwarders for timely shipment of completed orders.

  • Creates/maintains database for individual country requirements.

  • Provides International Sales and Logistics personnel shipment information and documentation for visibility to customer.

  • Compliance auditing for export records.

  • Processing all "Trackwise" issues with returned material or damaged freight.

  • Additional responsibilities as describe by supervisor


General:


  • Monitor and oversee shipping activities to make sure that everything that is shipped out is in perfect condition.

  • Responsible for posting weight and shipping charges as applies to each and every item to be shipped out.

  • In charge of compiling a list of unfulfilled orders for future reference. Responsible to follow up with production department to ensure all orders are process on a timely manner.

  • Direct the movement of shipments from shipping points to storage and/or work areas.

  • Inspect loading operations to make sure that they comply with shipping specifications.

  • Decide the load limit of each truck used in the loading and delivery process.

  • Read shipping notices, invoices, orders, and other documents so as to determine priorities and shipping methods that are needed to meet schedules.

  • The shipping supervisor ensures that all shipping activities comply with relevant regulations and standards, including those related to hazardous materials, customs, and international shipping. They also oversee the preparation of shipping documentation, such as bills of lading, export paperwork, and customs forms.

  • Notify maintenance unit or contact external service providers in the case of defects on materials for repairs.

  • Responsible for managing financial transactions related to shipping services.

  • Carry out regular inventory reconciliation of shipping area.

  • Follow up on removal of order HOLDs to ensure orders are completed by its schedule date.

  • Prepare incorrect items report to vendors through the appropriate medium.

  • Play a mediator's role between shipping units and vendors in the case of discrepancies in shipments and reconcile with the appropriate bodies.

  • Identify opportunities for enhancement and suggest ways of improvement to top management of the organization.

  • Ensure the availability of stock so as to reduce shortages that might impact the shipping timeline.

  • Tracking key performance indicators (KPIs) related to shipping, such as on-time delivery rates, shipping costs, and accuracy of shipments, is essential. The supervisor generates reports to analyze shipping performance and identifies areas for improvement.

  • The shipping supervisor works in coordination with other departments, such as customer service, procurement, and transportation, to optimize shipping processes, resolve logistical challenges, and ensure a seamless flow of goods from the warehouse to the customer.

  • The supervisor maps out current shipping processes, from order receipt to final delivery, and documents each step in detail. This provides a comprehensive understanding of the workflow and serves as a foundation for identifying bottlenecks, redundancies, and areas of potential improvement.

  • Leveraging process mapping insights, the shipping supervisor leads and participates in continuous improvement initiatives aimed at streamlining shipping processes. This may involve implementing lean principles, such as value stream mapping, to eliminate waste, reduce lead times, and improve overall workflow efficiency.

  • The supervisor explores opportunities to leverage technology, such as shipping management software, barcode scanning systems, or automated labeling solutions, to optimize shipping processes. They collaborate with IT and logistics teams to evaluate, implement, and integrate technology solutions that enhance order tracking, inventory management, and shipment visibility.

  • Developing and refining standard operating procedures for shipping activities is a key responsibility. The supervisor ensures that SOPs are clear, up-to-date, and aligned with best practices, enabling consistent and efficient execution of shipping tasks by the team.


Experience

  • BA or BS in Logistics Management, Purchasing/Operations Management, or Business, or equivalent business experience preferred.

  • 5 plus years of experience in Supervision in Shipping Dept and logistics or transportation in a global manufacturing environment.

  • Experience with MRP/ERP systems or other manufacturing/purchasing systems and Windows-based PC programs.

  • Professional logistics, and/or supply chain certifications are highly desirable. (e.g. ISM

  • (APP,CPM) or APICS (CPIM, CIRM). Lean Supply Chain Certifications).

  • Knowledgeable of domestic and international logistics' operations.

  • Import and Export compliance.

  • Ability to communicate effectively , both orally and in writing and interact effectively with

  • personnel to accomplish tasks.

  • Must be action-oriented with an eye for finding opportunity and solving problems .

  • Must be able to operate in a dynamic, ever changing environment , thus being able to adapt

  • to a fast paced workplace.

  • Detail oriented with ability to complete tasks in timely manner.

  • Working knowledge of MS Excel, PowerPoint and Word.
