Reporting to the Executive Director, the Center for Tumors of the Nervous System (CTNS) Senior Project Manager serves as a resource for all faculty affairs related matters with the Center. Using a high degree of initiative and independent judgement, the incumbent will collaborate closely with physician and departmental leadership to continually assess and direct a wide range of activities and projects. Responsibilities include management of projects, oversight of neuro-oncology meetings, tumor boards, faculty affairs, and meeting oversight and coordination.
This position provides collaborative project management with administrative and clinical leadership across multidisciplinary specialties, across Academic Medical Centers and network sites to develop and ensure new processes and workflows are created, implemented, and followed and project manages various operational initiatives.
The Senior Project Manager is also responsible for the production and analysis of operational, managerial, and executive level presentations and reports. Requires discretion and judgement to organize priorities, complete tasks, and handle confidential information.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Essential Functions
• Serves as primary project manager for Center for Tumors of the Nervous System
Acts as a liaison and partner with the Department of Neurosurgery to support operational matters across CTNS and various departments, including Neurosurgery, Neurology, Radiation Oncology, Radiology, and other medicine and surgical divisions.
• Serves as primary project manager for the Executive Director for CTNS and Executive Director for the Department of Neurosurgery.
Coordinates and manages regular program director meetings across disciplines, and collates relevant information and reports.
Evaluates, develops, and implements operational systems and procedures designed to maximize the workflow throughout the CTNS.
Prepares presentations for leadership meetings.
Facilitates interactions amongst his/her team and works to maintain good morale.
Evaluates and standardizes operating procedures and effectively troubleshoots and resolves issues as they arise. Informs staff of policy and procedure changes.
Co-manages new physician recruitment and works with operations leadership to arrange all operational logistics (e.g. office, support, etc.)
Supervises professional staff recruitment, medical staff appointment, etc.
Negotiates and manages Professional Services Agreements and Institutional Agreements allowing CTNS faculty members to participate in clinical or other administrative work at other entities under the general direction of the BWPO/MGPO. This includes close collaboration with Office of General Counsel on legal matters related to agreements.
Serves as primary resource for resolution of administrative questions/issues/problems.
Coordinates the regular meetings for faculty at the direction of the Executive Director for the CTNS.
Works with clinical and administrative staff and representatives from other departments to evaluate, initiate, and implement systems and procedures and revises as necessary to improve services and maximize efficiency.
Liaison for CTNS finance matters via Finance Manager for Cancer Institute.
Provides support to Dept of Neurosurgery Executive Director on projects related to CTNS practices and MGB Cancer Institute as needed.
Works collaboratively with other project managers within MGH Cancer Center during building of MGB Cancer Institute.
Cancer Center
Coordinate and support CTNS Leadership Meetings included but not limited to: Tumor Board Meetings, Clinical Director's Meeting, Cancer Center Service Line Meeting, Academic Advisory, and Cancer Center Leadership Council
Participate in multi-disciplinary planning efforts. Collaborate and coordinate closely with leadership in other Departments regarding these activities.
Develop and maintain working relationships with Faculty, Executive Directors, VPs and other clinical leaders for successful collaboration.
Be an active leader and advocate for throughput and capacity efforts.
Development and participation in special Cancer projects and other duties as needed.
Other duties as assigned.
WORKING CONDITIONS:
The incumbent will work in a hybrid environment. Predominately Monday to Friday. May be required to attend meetings outside of regularly scheduled hours.
SUPERVISORY RESPONSIBILITY:
This position will be responsible for administrative staff supporting clinicians in the center, as well as co-ops hired part-time.
FISCAL RESPONSIBILITY:
Person is responsible for efficient use of resources as time. Management of cost centers and budget will be included once CI cost centers set up.
Qualifications
QUALIFICATIONS:
• 3-5 years of relevant experience in the healthcare administration, preferred
• Bachelor's Degree required, master's degree in business, Health Policy, or related field preferred.
• Experience and knowledge of EPIC, including reporting, preferred.
• Project management experience, required.
