We are actively in search of a Flight Logistics Coordinator to join our team! We are actively in search of a Flight Logistics Coordinator to join our team! The ideal candidate would reside in one of our surrounding base areas (Greater LA area / Merced, CA / Albuquerque, NM / Phoenix, AZ).
Responsible for maintaining daily scheduling of flight crews; handles changes to schedule based on operational need and crew availability. Provide excellent customer service to the Advanced Air charter sales team, VIP team, owners, crew members and Vendors. This group’s goal is to streamline processes to increase efficiency and lower overall costs for the company.
Supervision Received:
Works under the supervision of the Director of Flight Support and Flight Logistics Manager.
What you will do:
Coordinate within crew support team by utilizing Jet Insight Scheduling Software to inform Sales/Owner/Airline teams of any crew availability conflicts and limitations in real time.
Assist Chief Pilot and Assistant Chief Pilot with assigning crewmembers, updating calendars with crew availability and all training schedules.
Coordinate with Maintenance to track aircraft coming due for phase inspections and open deferrals. Follow communication flow chart in an outward direction to all members of the organization for Maintenance recovery events.
All logistics associated with any flight and crewmember as needed to include airline, hotel or rental car needs. Prepare and send forward travel packets for all crewmembers: from home base locations to all assignments with reference to local and non-local travel limitations.
Review Airport limitations with Flight Operations Team and advise of any non-standard, high elevation or after hours requests. Review sales teams airfield requests and maintain outward communication to dispatch and flight ops for appropriate airfield evaluation and communicate close the loop of communication to accept trip or offer alternatives if needed.
Gain an understanding of fleet wide activity to manipulate and adjust trips on varying aircraft to maximize crew duty and allow maximum availability for owners and additional charter sales.
Coordination with EAS scheduling, includes communication with Customer Service Agents at our EAS stations via Microsoft Teams, updating EAS passengers and sending crew itineraries to crewmembers; familiarity with EAS operations and ability to act as a support to their team as needed.
Coordinate weather concerns with crewmembers and charter sales team; Receiving information from Dispatch department and relay to Owner/Charter/Sales/EAS.
Obtaining arrival slots, communication with FBO and Airports to confirm a smooth flight experience for our passengers and crew.
Send trips to flight crews and gather flight releases as required manage and distribute flight releases per company policy.
Arrange customs, file APIS
Negotiate, track and post current fuel discounts, programs.
Create and maintain company approved Vendors; i.e. FBO’s, Brokered Airport, hotel, rental car, airline preferences for crewmembers.
Coordinate aircraft schedule with FBO.
Develop and maintain a close working relationship with the Customer Service team.
Required to work a non-standard workweek and/or be accessible for periodic on-call duty.
Assist with other projects as needed.
What we are looking for:
Four Year College degree in business or technical field preferred or equivalent business and work experience.
Minimum two years of experience in Corporate Aviation, Part 135 a plus.
Ability to identify and implement process improvement opportunities.
Must demonstrate judgment in balancing the needs of the customer with the needs of the company.
Ability to provide leadership for team, consistent coaching and feedback while maintaining a positive high energy work environment.
Strong decision making skills.
Excellent verbal, written and presentation skills.
Strong PC skills to include the use of Jet Insight, Teams, and other MS Office Products.
The ability to learn new systems quickly as required.
Some travel required.
Must be able to work flexible hours including evenings, weekends, holidays and overtime, as needed.
Pass FAA Drug and Alcohol testing, background checks and submit to random drug test when required.
