Job Description:

Under general supervision, provides support and management for the divisional operations of the office, assigned projects for the divisions, including coordination of specialized events and activities, and manage schedules and travel arrangements for all faculty, fellows, advanced nurse practitioners, nurses, and recruits. Performs administrative work such as composing correspondence, producing specialized reports, spreadsheets, and presentations per faculty requests and obtaining and providing factual information requiring interpretation of the policies and procedures of both the assigned and related work areas.

Provides coordination related to patient services to ensure that patients are scheduled efficiently and effectively with the appropriate faculty as well as coordination with procedural areas.

Duties to include, but not limited to:

  • Prepares and distributes communication on behalf of all division members requiring independent interpretation to abide by all policies and procedures.
  • Provide telephone coverage for staff physicians, fellows, nurses, advanced nurse practitioners, and staff; direct messages appropriately. Complete documentation in EPIC for all patient related calls.
  • Assist with the maintenance of On Call/Clinic Change forms to ensure the requests for clinic cancellations, reopenings, reductions and additions are communicated with centralized scheduling.
  • Collects, compiles, and analyzes data for specialized reports requiring some informational search (data research, external contacts, complex queries, etc.) and a knowledge of the operations of both the assigned and related work areas.
  • Assist with Fellowship Recruitment Interviews, fellowship onboarding and Division orientation; including arranging pre-employment health screens, door access, lab coats, scrubs and other duties as needed.
  • Assist fellows with clinic, procedure, and on call schedules.
  • Provide administrative support to the GI Physician Scientist to include but not limited to data collection and entry, supporting faculty collaboration amongst multiple pediatric division and departments across University of Iowa Health Care.
  • Assist collaboration with United Shared Services to create, submit and monitor travel vouchers, Non services and Services EVouchers, PReqs and utilizing eBuy when necessary.
  • Requests or retrieves medical information for patient complaints as appropriate.
  • Develops and utilizes method to inform faculty/supervisor of daily/weekly clinical schedule and changes which occur.
  • Responsible for gathering new patient records and growth charts.
  • Responsible for completing, sending, and filing of consents for obtaining and releasing information.

Minimum Requirements

  • Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to four years of full-time employment and includes the use of word processing.

Desired Qualifications

  • A minimum of 1-year experience in a healthcare institution.
  • Ability to demonstrate careful attention to detail and accuracy, with strong organizational skills and the ability to handle multiple tasks quickly and effectively.
  • Proficiency in computer software applications.
  • Excellent written and verbal communication skills.
  • EPIC experience
  • Office (Word, Excel, Publisher, and PowerPoint) experience
  • Zoom/Teams
  • QGenda experience
