The purchasing administrator will ensure that goods, services, maintenance, etc. needed for company operations are obtained on time and at the best price. Products purchased must meet company specifications and quality standards.
Primary Responsibilities:
Validate and process all invoices for payment to Accounting from vendors.
Facilitate processes to ensure compliance of corporate purchasing policy.
Track delivery schedules for purchase orders and communicate delivery times as necessary.
Contact vendors regarding product changes, shipping issues, delivery tracking, discrepancies with quality and/or quantity, and issues with sales tax as necessary.
Prepares and creates purchase orders for internal and resale.
Monitors quality of service and works with other departments to streamline processes.
Submits billing information to Accounting to bill clients.
Analyze expenses to eliminate unnecessary spending when applicable.
Contribute to the bottom line by placing maintenance, hardware, third party software and/or services orders.
Manages status of purchase orders on a regular basis to ensure receipt of invoices in accordance with contractual obligations.
Other Requirements:
High School Diploma or equivalent required. Associates or Bachelors a plus.
1+ years' experience in purchasing preferred.
Excellent written, proof reading and verbal communication skills.
Must be detail-oriented, organized and have the ability to multi-task.
Ability to demonstrate supportive relationships with peers, customers, partners, and corporate executives.
Must be flexible with a can-do attitude and have the ability to remain professional under high-pressure situations.
Ability to retain and protect confidential material.
Strong computer skills in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
Experience with Sage Intacct a plus.
Experience with Purchasing software package(s).
Negative pre-employment drug tests.
