Port Corpus Christi Authority (PCCA) is currently seeking a dynamic professional to join our team! This position will perform secretarial and administrative tasks for environmental personnel as required; while providing support to the Director of Environmental Planning & Compliance.
ESSENTIAL FUNCTIONS
Provides general secretarial services and administrative support to the Director of Environmental Planning & Compliance and other environmental staff serving as a receptionist, answering and screening incoming telephone calls, taking messages, and greeting visitors for the department
Assists the Director of Environmental Planning & Compliance in the overall administrative functions for Department including streamlining and simplifying processes, compiling information to respond to internal and external inquiries, and Commission Meeting preparation
Tracks regulatory authorizations for the Port area and disseminates to responsible Environmental team members
Processes and codes department request for purchase orders and invoices
Coordinates report submissions
Opens and distributes mail for environmental staff as required
Arranges meetings and conferences; takes and transcribes minutes, as directed
Makes travel reservations for the environmental staff
Provides clerical support including initiating, typing, and proofreading of reports, letters, and other documents in draft and final copy for environmental staff
Establishes and maintains necessary environmental files as required for environmental compliance and recordkeeping, to include record retention, DocuWare, and assists with associated project files
Performs data entry of environmental records and maintains various TEAMs Channels, spreadsheets, and tracking data for environmental projects
Coordinates with procurement for solicitation of environmental projects and supplies
Supports the other administrative personnel as needed
Adheres to Port policy and maintains good employee relations
Drives vehicles as necessary to complete assigned tasks and works assigned hours to fulfill position objectives
Performs related duties as assigned
CPR certified or the ability to become CPR certified within the first year of employment
Tier 3 status designation
CANDIDATE PROFILE The preferred candidate for this position should be a highly organized, thorough, self-motivated, and disciplined individual with a focus on maintaining optimal integrity in support of the PCCA. They must possess the following:
EDUCATION & CREDENTIALS
High school diploma or equivalent
Minimum two years formal education from an accredited college or university preferred
Ability to obtain and maintain a Transportation Worker Identification Credential (TWIC) during course of employment
Valid driver's license
EXPERIENCE & JOB KNOWLEDGE
Minimum of four (4) years related secretarial experience or acceptable equivalent experience
Experience with environmental and construction projects preferred
TECHNICAL SKILLS
Ability to organize and maintain extensive filing and reference systems
Ability to handle heavy workloads from environmental and engineering staff
Ability to demonstrate secretarial skills including typing proficiency of 50 w.p.m. and file organization
Excellent written and spoken English communication skills
Above average proficiency in MS Office, including Word and Excel, Outlook and other related applications
Ability to understand, interpret, and apply all PCCA policies, promotes and adheres to the SEAPORT values, state/federal laws
Ability to maintain good employee relations and encourage and foster a helpful environment where teamwork prevails
Ability to assist senior management and office staff where appropriate
ESSENTIAL PHYSICAL JOB FUNCTIONS
Ability to perform essential job functions, including but not limited to frequent standing, walking, sitting, speaking or hearing, typing and occasional reaching, stooping, kneeling, lifting and/or moving up to 20 pounds with or without reasonable accommodation
Must be able to walk and stand on level and/or inclined, climb stairs, ramps, ladders and work stands. Must be able to crouch, crawl, grasp/handle objects, use finger dexterity, bend elbow/knee and reach above/below shoulders
Ability to work in a general office environment, with some exposure to the elements when visiting worksites
Ability to operate light-weight highway vehicles and standard office equipment and to work the requisite hours to fulfill position objectives, including evenings and/or weekends, as needed
