Job Summary
World Learning seeks a Senior People Operations Coordinator to work closely with the Operations Manager on seasonal staff (program leaders, facilitators, coaches, etc.) recruitment, hiring, and onboarding operations. The Senior People Operations Coordinator will recruit and hire leaders and digital facilitators year-round for World Learning's Youth Exchange unit, as well as support with seasonal staff logistics and risk management efforts.

ABOUT GLOBAL PROGRAMS

This position will be a part of the Global Programs unit of World Learning which designs, implements, monitors and evaluates global development and exchange programs. We work with various donors, including the U.S. Department of State and the U.S. Agency for International Development, to achieve immediate impact and sustainable outcomes. Consistent with our organization's status as both a global nonprofit and an accredited institution of higher education, we prioritize experiential programs that are grounded in theory, proven in practice, and lift up diverse voices.

Responsibilities

Recruitment, Hiring, and On-boarding

  • Coordinate recruitment and hiring cycle for
    • an estimated 80 program leaders to lead for The Experiment and the World Learning Youth Programs annually;
    • an estimated 60 digital facilitators to implement The Experiment Digital's virtual exchange programs;
    • additional temporary staff on custom programs implemented throughout the year;
  • Coordinate strategic planning and timelines for recruitment and hiring cycles
  • Design and implement recruitment strategies to strengthen and diversify leader and facilitator applicant pools;
  • Coordinate seasonal staff recruitment, including updating job descriptions annually; coordinating website updates, marketing materials, and social media posts with the Marketing and Communications team and managing applicant inquiries;
  • In partnership with Human Resources, coordinate collection and review of on-boarding paperwork for Youth Exchange temporary staff
  • Process Personnel Notifications for out of summer hires;
  • Collect and distribute leader evaluation feedback at end of each program cycle;
  • Manage seasonal staff application pools, including
    • Review application and pre-recorded interviews;
    • Conduct live interviews;
    • Coordinate language proficiency checks;
    • Utilize Salesforce reports to manage applicant pipeline;
    • Place leaders and facilitators in program assignments and reject applicants not moved forward in the hiring process;
    • Create and distribute offer letters;
  • Develop and maintain best practices related to equity, diversity and inclusion in hiring;
  • Collaborate with temporary Operations staff to complete leader recruitment, hiring, and on-boarding as needed;
  • Manage email communications with potential candidates, applicants, and hired staff;
  • Liaise with World Learning's Human Resources department to implement policies and best practices for hiring and communication with external parties;
  • Annually update leader application (housed in Salesforce) with World Learning IT;
  • Collaborate with and maintain professional collaboration with other departments within World Learning, such as MARCOM, IT, Compliance, and Legal
  • Maintain ongoing learning, understanding, and implementation of human resource policies and employment regulations (taxes, review and qualification practices, etc.);

Administration, Logistics, and Risk Management

  • Lead training sessions for colleagues to establish, maintain and monitor best practices in managing temp staff and cultivating staff retention;
  • Regularly update Program Trackers to ensure clear and consistent communication regarding completed and on-going tasks;
  • Support leader travel reservations and planning as needed during peak times of year;
  • In collaboration with Operations staff, support leaders in reconciling their finance budgets, equipment return, and reporting;
  • Support Operations Manager in coordinating among different program units to ensure leader operational systems, processes and management are consistent and timely during program preparation and implementation;
  • Attend and fully engage in the delivery of Staff Trainings, including:
    • contributing to workshop design,
    • session facilitation and content delivery,
    • administration of Staff Training - van driving, logistics, setting up classrooms, supply runs, tech support, etc. as assigned;
  • Maintain a thorough understanding of all policies and procedures as laid out in the Youth Exchange Leader and Digital Facilitator Handbooks (updated annually);
  • Review, edit, and create content for the Youth Exchange Leader and Digital Facilitator Handbooks as assigned;
  • Provide on-call support during programs: advising leaders, conducting mid-program check ins with leaders, partners, parents, and staff on student management and decisions on programs, including responding to health, discipline, and behavioral issues;
  • Manage maintenance of evaluation platform, and collection of data from leader evaluation processes;
  • Attend key organizational meetings (e.g., town halls, quarterly meetings) and learning sessions to understand and maintain awareness of organizational priorities and policies; and
  • Other duties as assigned.

Requirements

Required Experience/Education:

  • A bachelor's degree plus 3+ years of related experience or a master's degree with 1+ years of related experience
  • Previous experience working with high school students in a leadership capacity;
  • Applicants must be authorized to work in the location where this position is offered.

Required Skills:

  • Superior logistical, interpersonal, communication, cross-cultural, organizational, administrative, customer service, and time-management skills with excellent attention to detail;
  • Comfort with difficult conversations such as negotiating pay and giving performance feedback;
  • Ability to discern appropriate level of communication with multiple audiences and maintain confidentiality around complex and sensitive issues;
  • Ability to respond to seasonal changes in workload and work longer hours, nights, and weekends during certain times of the year;
  • Clear understanding of challenges facing high school students and leaders working with high school aged students undertaking field-based, experiential study abroad;
  • Interest in staff development and training;
  • Demonstrated ability to manage multiple projects simultaneously, coordinate activities in multiple locations, and prioritize competing tasks;
  • Experience and comfort using various technologies such as Salesforce (preferred), Microsoft Office, virtual meeting platforms;
  • Willingness and ability to participate in on-call duty rotation while programs are in session, including during assigned nights, weekends, and holidays; and
  • Strong oral and written communication skills in English.
