The E.W Scripps Company is seeking a Supervisor, Office Services. This person will provide administrative management of the office. Direct and oversee office activities in order to achieve the highest degree of expense control and productivity. Maintain a clean and aesthetic quality office environment at all times. Responsibilities include but are not limited to maintenance of office equipment and supplies, coffee and water service. Act as liaison between Scripps and building management. Act as administrator for key card access system. Implement and develop company policies and procedures for office functions.
WHAT YOU’LL DO:
• Interface with department heads to discuss specific needs, problems or concerns. Accommodate special requirements.
• Provide day-to-day administrative supervision of facilities department support staff, i. e. receptionist and mailroom. Provide training and coverage as needed.
• Train and provide on-going assistance to all employees concerning operation of phones and office equipment. Troubleshoot minor office equipment, and phone problems.
• Coordinate with vendors for office furniture requests and repairs; light maintenance, office/culinary supplies, and office equipment.
• Manage/perform conference room set-up services.
• Maintain inventory flow and storage of office supplies.
• Schedule maintenance and miscellaneous cleaning on an as-needed basis, i. e. painting, carpet cleaning, window cleaning, interior foliage, etc.
• Review, record and ensure accuracy of invoices.
• Provide weekly status report.
• Maintain facilities key card access system and determine level of security access; issue key card to new employee; replace lost/stolen key cards.
• Maintain video surveillance system.
• Support HR & Legal with internal investigations related to access control and video security systems.
• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
• Maintain inventory of office keys; distribute and place order for key request.
• Coordinate office moves at the direction of supervisor.
• Administer the building safety and evacuation team at supervisors’ direction
• Manage office services staff: goal setting' administrative management, perform reviews and performance management.
• Support Scripps Center related activities for Strategic Sourcing.
• Assist internal customers with “restricted” or “blocked” items on vendor sites.
• Assist internal customers with special orders from preferred vendors.
• Source and order print-related needs for the Scripps Howard Foundation (e.g., stationery, business cards, folders).
• Source and order print-related needs for Accounts Payable (e.g., check stock, envelopes).
• Investigate and resolve customer questions/issues related to print-related orders (e.g., Taylor Communications, Southeastern Printing, Harper Engraving).
• Investigate and resolve customer questions/issues related to FedEx shipments.
• Submit extraneous FedEx invoices to the third-party processor for payment processing.
• Maintain/update information on WorkLife related to employee discount programs.
• Perform other duties as needed and as directed by supervisor/management.
WHAT YOU’LL NEED:
• Associate’s degree or equivalent years of experience required
WHAT YOU’LL BRING:
• Computer proficiency; primary programs to include: Microsoft Word, Outlook, and Excel
• Strong communication and organizational skills
• Must have professional demeanor, multi-task oriented, and self-motivated
• Should be an independent thinker, and able to make sound judgment
• Ability to communicate in sometime stressful situations
• Aptitude to work with the public and office personnel with diplomacy
• Travel - limit
• Lifting required: must be able to lift up to 50 pounds
