Job Description:
The State of Nebraska, Department of Health and Human Services is seeking an Administrative Specialist for the Division of Behavioral Health.
Under limited supervision, the Administrative Specialist will independently manage day-to-day operations of agency programs and administrative functions. This role is critical in shaping the design and execution of unit or agency operations, systems, programs, and services. The incumbent will direct technical and administrative processes through strategic planning, establish procedures, determine staffing needs, and monitor work quality.

Attend meetings and take accurate minutes, summarizing key discussions and action items for distribution. Update and maintain organizational documents, ensuring that all information is current and accessible.
Create engaging training flyers and materials to support employee development and onboarding processes.
Prepare and ship out items as needed, ensuring timely delivery and proper tracking of packages.
Maintain and update various trackers for different areas, ensuring data accuracy and timely reporting.
Answer incoming phone calls, providing friendly customer service and directing inquiries to the appropriate regional contacts.
Assist customers and team members by answering questions and providing information about services and processes.
Input and update information in databases and spreadsheets, maintaining high levels of accuracy.
Work closely with team members and other departments to streamline communication and processes.
Perform general administrative tasks as required, including filing, organizing, and scheduling appointments.
Requirements / Qualifications:
Minimum Qualifications: At least one year of post high school coursework or experience in: administration, office management, accounting, finance, planning, policy analysis and implementation, administrative/management analysis, operations research, program evaluation, research, or similar fields or in a field related to the programs or functions of the employing agency.
Preferred Qualifications: College degree or equivalent work experience in similar roles. Previous success in office management. Experience developing internal processes and filing systems.
Other: Some positions may require experience and/or training that is unique to the work assigned; a valid driver's license or the ability to provide independent authorized transportation; and/or criminal history background checks and other specific background check protocols for their agency.
Knowledge, Skills, and Abilities:
Knowledge of: federal and State laws and regulations governing work assigned; office management and record keeping methods and practices; administrative report preparation practices; research and administrative survey techniques; work planning and organizing; business computer and communication systems.
Ability to: interact with immediate supervisor and senior managers, employees, and the public to gain their cooperation and to establish work relationships; formulate and recommend modifications to operational directives to attain agency goals; apply management practices, techniques, and methodologies to assigned activities; collect, assemble, and analyze facts and draw conclusions to recommend solutions to problems; identify and interpret program-administrative requirements, policies, and regulations to provide guidance and advice; organize and present facts and opinions to managers and groups; learn the structure, functions, goals, and policies of the employing agency.
