The Space Systems Division is a multidisciplinary team of engineers, program managers, and technicians to develop spaceflight missions, spacecraft, spacecraft avionics systems and spacecraft payloads.
Objectives of this Role:
Support the assist administrative support staff in the division and acquire skills to be a back-up.
Provide clerical and administrative support to managers and engineers and occasionally support other staff in the department as needed.
Must be detail oriented, possess strong organizational skills, adequate professional social skills, have the ability to multi-task and take own initiative to complete necessary tasks.
Be proficient in MS Office and Adobe. Willingness to continue to learn and improve their software skills.
Daily and Monthly Responsibilities:
Greets visitors or clients and directs them to appropriate conference areas or employee offices or laboratories.
Answers telephones, routes calls, takes and delivers messages.
Monitors and records inventory of office supplies and place orders.
Receives incoming materials and distributes accordingly.
Receives and routes paperwork, supplies, equipment, and other materials.
Performs data entry and other basic computer functions.
Generate memos and other materials consistent with desired formatting.
Processes invoices, requisitions, and other SwRI forms.
Operates office machinery such as copier, fax machine, and scanners.
Manage conference room and staff calendars using Microsoft Outlook.
Be back-up for and provide assistance in booking travel arrangements using Concur.
Requirements:
Requires a high school diploma or equivalent with experience in administrative and clerical support.
2-6 years: Proficient in MS Office; Intermediate level.
2-6 years: Proficient in Adobe; Intermediate level.
A valid/clear driver's license is required.
Special Requirements:
Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information. Applicant must be a U.S. citizen.
