Position Overview

The Office Coordinator is part of the Ready-Mix Concrete team and is responsible for supporting the East Texas Ready Mix Division. The Office Coordinator will be a good problem solver, foster lasting business relations with the customer and will have a strong desire to deliver high levels of customer service. Work will be performed per the supervisor's instruction, free from direct supervision, except for more complicated jobs. Front office reception and office administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail along with all other office duties/functions.

Key Responsibilities (Essential Duties and Functions)


  • Create daily material sales report and email to corporate accounting (daily)

  • Match cash payments and payments by check with order # and make copies (daily)

  • Prepare daily deposits (daily)

  • Scan and email supporting deposit information (daily)

  • Copy, scan, and email A/R checks (daily)

  • FedEx A/R checks (weekly)

  • Process credit card payments. Scan and email to corporate accounting. (daily)

  • Process and verify Sales Tax Exemption documentation

  • Acquire and submit weekly plant site fuel reports to accounting (weekly)

  • Acquire and submit monthly (EOM) plant site fuel logs to accounting (monthly)

  • Assist with monthly and quarterly IFTA / mileage reports (monthly)

  • Daily review, correction, and submission of Command Priced Orders Report for each plant (daily)

  • Company uniform administrative duties (weekly)

  • Coordinate and assist with corporate HR (as needed

  • Schedule appointments

  • Organize conference and meeting room bookings

  • Co-ordinate meetings and organize catering

  • Monitor and maintain office equipment

  • Perform additional assignments per supervisor's direction.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience


  • High school diploma generally required

  • Knowledge of administrative and clerical procedures

  • Knowledge of computers and relevant software application

  • Knowledge of customer service principles and practices

  • Must have excellent alpha/numeric data entry skills.

  • Able to read and/ or follow written and verbal instructions and implement the same.

Knowledge/Skill Requirements


  • Excellent computer skills using MS Office (Word and Excel), e-mail and an attitude for learning new software.

  • Ability to interact with all levels of the organization.

  • High ethical standards

  • Excellent communication skills (both oral and written).

  • Excellent computer skills

  • Ability to meet individual deadlines, as well as work collaboratively with team to help them meet deadlines.

  • Able to communicate with others by telephone and in person.

  • Able to utilize a computer for word processing, e-mail communication, and preparation of documents and presentations.

  • May require sitting for extended periods of time.
