The Executive Assistant will provide high-level administrative support to the executive team. This role requires a detail-oriented individual with excellent communication and organizational skills who can handle sensitive and complex tasks with discretion and efficiency.
Key Responsibilities:
Administrative Support:
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming and outgoing communications on behalf of the executive team.
Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure the executive team is well-prepared for all meetings.
Travel Arrangements:
- Arrange travel plans, itineraries, and accommodations.
- Prepare and process expense reports.
Project Management:
- Assist in the planning and execution of projects and initiatives.
- Track project timelines, deliverables, and ensure deadlines are met.
Office Management:
- Maintain office systems, including data management and filing.
- Handle confidential information with discretion.
Communication:
- Serve as the primary point of contact between the executive team and internal/external stakeholders.
- Manage communications and ensure that information is disseminated accurately and promptly.
Support to the Executive Team:
- Conduct research and compile data for reports and presentations.
- Provide administrative support for other members of the executive team as needed.
Qualifications:
- Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Experience: Minimum of 3 years of experience in an executive assistant role, supporting senior executives.
Skills:
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving skills and attention to detail.
Work Environment:
This position is primarily office-based with standard working hours. Occasional overtime may be required.
