Title: Collection Manager Status: Non-exempt Reports to: Curator/Museum Director
Summary: A full time, non-exempt position for a detail-oriented person working with the American Numismatic Association's Edward C. Rochette Money Museum. This position requires the cataloging and management of the ANA's world-class numismatic collection under the supervision of the Museum Curator/Director. The Collection Manager will oversee the completion of the data entry of the Museum's core collection, supervising and verifying the data entry of two Museum Assistants. Working with Past Perfect Museum Software, the incumbent must manage the online database, enhance data standards as needed, and coordinate with photographic services to create a first-class online numismatic database. Using standard museum collection management procedures, the Collection Manager is responsible for maintaining and organizing the accession record files, as well as donation and loan documentation.
This is an hourly non-exempt position. Additional hours on evenings and weekend may be required for special events. Skills and Qualifications:
Knowledge of professional museum procedures, including collections management, data-base management and record-keeping
Strong organizational skills
Demonstrated record keeping skills
Good oral and written communication skills
• Computer and data-entry expertise
Degree in Museum Studies or related field preferred
• Knowledge of numismatics preferred
Duties and Responsibilities: • Manages objects in the ANA collection according to professional museum standards • Manages the PastPerfect collections database system • Works closely with PastPerfect to ensure program is up-to-date and functioning properly • Conducts regular data uploads to the PastPerfect web module • Produces and maintains documentation of all donations, exhibitions, incoming and outgoing loans • Records and processes donations and loans in a timely manner according to professional museum standards • Responsible for the physical organization of the vault spaces based on collection needs as determined by the curators and collection manager. • Monitors condition of collections and loaned objects • Catalogs objects into the PastPerfect database, ensuring that standards for data entry are maintained and enhanced as needed
Trains and supervises the Museum assistants and volunteers in data entry in the PastPerfect database and ensuring their completeness and accuracy according to established procedures
Ensures that established data entry quotas are met and recorded
• Assists the curators to identify objects for deaccession • Assists with the maintenance, installation and tear down of museum gallery exhibits
Secondary Responsibilities:
Monitors and maintains the museum environmental system
Assists with public inquiries
Assists at public functions to enhance the ANA's public image
Some travel may be required
Salary: $20.67 to $23.08/hour; 40 hours per week, non-exempt
Vacation Leave: 80 Hours Annually for 0 - 5 years of employment. The employee will accrue 6.67 hours monthly beginning the first day of employment. Maximum accrual of hours is 120 hours. Vacation can be used after it is earned. Employee becomes eligible to use vacation after completing six months of service
Sick Leave: Employee is eligible for sick leave as soon as it is accrued. The employee will earn 8 hours per month of sick leave. Accruals begin with the date of hire. Employee may not accrue more than 160 hours of sick time. Sick Leave can only be used after it is earned.
Medical/Dental/Vision: The American Numismatic Association contributes 75% of health Insurance costs for employees and 50% contribution for dependents.
Life Insurance: Life Insurance is provided to the employee in the amount of two times the employee's annual pay.
401(k): Participation in the 401(k) plan is available to the employee beginning on the first day of employment. The ANA will match up to 3% of the employee's contributions.
Short Term & Long-Term Disability: ANA provides for both STD & LTD Insurance.
