Job Description:

I. PURPOSE OF THE JOB

Oversee bookkeeping duties, financial management, and all other fiscal-related matters for the organization.

II. ESSENTIAL FUNCTION AND RESPONSIBILITIES

a. Provide oversight to ensure representative payee accounts are managed accurately, responsibly, and ethically.

b. Collaborate with Billing Coordinator to ensure compliance and maximization of Medicaid Waiver drawdown of available funds.

c. Manage QuickBooks file for the company as it pertains to recording and paying bills and credit card charges for organization, entering Medicaid billing receipts, and recording journal entries for month-end closing.

d. Manage bank accounts and internal controls regarding monthly bank account reconciliation.

e. Work in conjunction with HR company to process payroll and make necessary adjustments.

f. Act as liaison between HR company and employees regarding finance, payroll, and benefits-related issues.

g. Act as liaison between CPA firm and organization regarding financial reports for Board of Directors and Executive Director.

h. Prepare annual budget with assistance from Executive Director and Board Treasurer.

i. Compile and submit reports as required by the state.

j. Work cooperatively with independent auditor on annual financial audit.

k. Identify and secure administrative service arrangements such as office equipment and rental contracts.

l. Maintain working understanding of organization's grants and contracts.

m. Other duties as assigned.

III. EXPECTED OUTCOMES

a. Compliance with all financial and tax laws and regulations for 501c3 non-profit organizations

b. Sound accounting practices with accurate data at all times

c. Comprehensive monthly financials

d. Compliance with organizational representative payee requirements

IV. KNOWLEDGE, SKILLS AND ABILIITES

Ability to obtain and demonstrate an understanding of the mission and overall work of the agency. Strong knowledge of GAAP is essential. Good knowledge of non-profit financial management, including fund-based accounting. Good knowledge of procedures regarding financial systems, official records and reports, filing systems, data maintenance and retrieval and business correspondence. Excellent knowledge of basic arithmetic computations, a high level of accuracy, and attention to detail. Ability to maintain a high level of organization surrounding documentation and time management. Ability to create ad-hoc spreadsheets and reports as needed. Good knowledge of English usage, spelling, punctuation, and grammar. Working skill in word processing and financial reporting. Ability to deal courteously with the public, staff and people we serve.

V. CREDENTIALS AND EXPERIENCE

Experience performing general bookkeeping duties strongly preferred.

Bachelor's degree in accounting, Finance, or another related field strongly preferred.

Proficiency with QuickBooks required.

Proficiency with Microsoft Excel required.

Payroll processing experience required.

Knowledge of financial and tax law required.
