Position Summary:
The Purchasing and Replenishment Manager plays a critical role in ensuring the smooth operation of Atoria's Family Bakery by overseeing procurement and inventory processes. This position is responsible for managing vendor relationships, negotiating competitive contracts, and maintaining optimal inventory levels to support production and new product launches. The ideal candidate will combine analytical expertise, strong organizational skills, and effective collaboration with cross-functional teams to uphold the company's commitment to quality and efficiency.
Position Responsibilities:
Replenishment:
Place purchase orders for all purchases, ensuring compliance with company policies.
Monitor inventory levels and usage rates, maintaining a close watch on lead times and external factors to avoid shortages or excess stock.
Administer contracts with suppliers, vendors, and other representatives, tracking contract balances and ensuring they are on track to deplete as scheduled.
Monitor shipments to ensure timely delivery, coordinate with vendors to confirm order details, schedules, and availability while proactively resolving issues such as delays, undelivered items, or shortages.
Process purchases requiring company credit cards and online portals, ensuring compliance with company policies and proper documentation.
Maintain accurate records of inventory levels, order history, cost, quality, and lead times.
Consult with QA and management on defective goods or services, coordinating with suppliers to resolve the issue.
Collaborate with the Operations and Sales teams to forecast inventory requirements based on demand.
Purchasing:
Solicit quotations and secure competitive contracts for raw materials and packaging.
Monitoring markets for all commodity inputs
Manage and maintain up-to-date master vendor and item list
Partner with Marketing and Sales teams to source and procure packaging supplies that align with and support new product launches.
Assist the Technical Department in sourcing, purchasing, and tracking materials and equipment required for maintenance, repairs, or production enhancements, ensuring timely availability and cost-effective procurement.
Perform additional duties as directed.
Education and Experience:
Bachelor's degree in supply chain management, business administration, finance, or a related field (or equivalent work experience).
Minimum of 7-10 years of experience in purchasing, procurement, or inventory management, preferably in a manufacturing or food production environment.
Proven experience in negotiating contracts and managing vendor relationships.
Strong analytical skills, including advanced proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, and data analysis).
Knowledge of procurement best practices and supply chain operations.

Familiarity with quality assurance and compliance standards, particularly in the food manufacturing industry.
Excellent communication and interpersonal skills for cross-departmental collaboration.
Strong problem-solving and decision-making abilities, with a proactive approach to addressing challenges.
Exceptional organizational and time management skills, with the ability to prioritize tasks in a fast-paced environment.
Demonstrated ability to manage budgets and track contract balances effectively.
Knowledge of commodity markets and experience monitoring pricing trends for key inputs.
Ability to work independently and as part of a team.
Preferred bilingual ability (e.g., Spanish/English) to communicate with a diverse team and vendors.
