Position Summary:
We are seeking an enthusiastic and detail-oriented Senior Executive Assistant to provide high-level support to our Executive Management team. In this role, you will be responsible for managing a wide range of administrative tasks, and ensuring the office environment is organized, efficient, and professional. Your contributions will be vital to the smooth operation of our executive office and the success of our company.
Responsibilities: • Support and maintain executive communication and correspondence files. Create letters, emails, memos, forms, or other documents; proofread and edit correspondence. • Assist with state and federal agencies such as RRC, KCC, BLM, Forestry and GLO.
Assist in the preparation of briefing materials for meetings and travel
Assist the Executive Team with reservations for both personal and business travel, including transportation and accommodations
Receive correspondence and mail, direct, log or flag as appropriate
Create and maintain files and records for historical and informational reference
Manage payroll, taxes and various personnel items such as health insurance
Review contractor invoices
Ensures all calendar payments are paid on a timely basis
Register, greet and escort guests as needed
Liaison with vendors and purchasers
Investor and owner relations
Maintain business and personal contacts
Maintain documents reflecting confidential personal data
Archive and download personal/business photos
Order personal/business items as needed including software and office supplies
Prepare reports as requested by the Executive Team
Communicate with various staff members
Coordinate weekly scheduled meetings
Perform annual tax audit
Handles bank transfers, payments, and deposits
Back up support to the Executive Team when needed
Act as Human Resources representative for the company
Required Skills/Abilities: • BA/BS Degree preferred. • Critical thinking, analytical, problem solver, good memory recall. • Excellent organizational skills and discretionary judgment. • Strong attention to detail. • Professional verbal and written communication, using excellent grammar, spelling, and proofreading skills. • Consistent, timely, and accurate status reporting. • Strong desire to work in a team environment. • Ability to understand and anticipate the needs of the team. • Ability to accept and take on responsibility. • Proficient in MS Office Suite and email management. • Oil and Gas experience is a plus.
