About the Role

Royal seeks a dynamic, organized, and proactive Executive Assistant/Office Manager with a strong background in marketing. In this hybrid role, you will support the executive team, manage office operations, and contribute to marketing initiatives. Ideal candidates are self-starters with excellent communication skills who thrive in a fast-paced environment.

Key Responsibilities

Executive Support

  • Calendar & Scheduling Management: Coordinate and manage the executive team's calendars, ensuring seamless scheduling of meetings, appointments, and site visits.
  • Communication: Serve as the primary point of contact between the executive team and internal/external clients, vendors, and business partners, managing emails, calls, and messages professionally and efficiently.
  • Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, and transportation for executive and team travel.

Office Management

  • Office Operations: Oversee office operations, maintaining an organized, professional, and welcoming environment. This includes ordering office supplies, managing office vendor relationships, and maintaining office equipment.
  • Record Keeping & Filing: Develop and manage a structured filing system (digital and paper) to ensure records are accessible and securely stored.
  • Expense Tracking: Assist with budget tracking, expense management, and coordinating expense reports for the executive team.

Marketing and Client Relations

  • Social Media Management: Create and schedule social media posts on platforms such as Instagram, LinkedIn, and Facebook, highlighting our restoration projects, company values, and client testimonials.
  • Content Creation: Assist in developing marketing materials, including brochures, newsletters, project updates, and blog posts that communicate our brand story and engage our audience.
  • Client & Community Engagement: Develop and maintain relationships with clients and local partners. Coordinate client appreciation events, community engagements, and marketing outreach activities.

Project Coordination

  • Meeting Preparation: Prepare agendas, document minutes, and provide post-meeting summaries and action items to the executive team and relevant parties.
  • Project Support: Track project timelines and deadlines, ensuring all necessary documents and permits are secured. Act as a liaison between the executive team and project managers.
  • Client Communications: Maintain regular communication with clients to update them on project milestones and address any questions or concerns with clarity and professionalism.

Skills & Qualifications

  • Education & Experience: Bachelor's degree preferred, with 3+ years in an executive assistant, office management, or marketing role. Experience in a construction, restoration, or real estate environment is a plus.
  • Marketing Skills: Strong understanding of social media platforms and content creation. Familiarity with digital marketing tools (e.g., Canva, Adobe Suite, or similar) is highly desirable.
  • Bilingual Abilities: Proficiency in Spanish and/or Albanian is a strong advantage to better connect with our diverse clientele.
  • Communication: Excellent verbal and written communication skills with a keen ability to interact with a wide variety of stakeholders professionally and tactfully.
  • Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and G Suite. Familiarity with CRM software or project management tools (e.g., Asana, Monday) is a plus.
  • Organizational Skills: Demonstrated ability to multitask, prioritize, and manage time effectively in a busy environment.
  • Problem-Solving Ability: Solutions-oriented with the ability to anticipate needs and handle issues proactively.
