We are seeking a motivated and committed individual to fill the role of Assistant to our CEO. This is an exciting opportunity to work closely with the CEO across various real estate and investment companies as we aggressively expand. If you are highly organized with excellent communication, management, marketing skills, and the ability to handle multiple tasks simultaneously, we would love to hear from you. MUST BE OK BEING ON CAMERA FOR YOUTUBE / SOCIAL VIDEOS.

This position requires a highly organized, creative, and computer-savvy individual with experience in real estate, telecommunications or marketing.

Administrative Support:
  • Provide high-level administrative and business development support to the CEO.
  • Set appointments, maintain tasks and calendars.
  • Coordinate and prioritize incoming requests and correspondence with principals and stakeholders.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist with project coordination and follow-up on action items. Maintain accurate updated information on deal flow.
  • Handle various tasks and projects as assigned by the CEO and executive team. Adapt to changing priorities and support the team in achieving its goals.
  • Manage calendars effectively, including scheduling meetings and coordinating logistics.

Management:
  • Manage outsourced staffing, ensuring work is performed diligently and accurately.
  • Oversee SEO and administrative teams, providing guidance to achieve company expectations.
  • Prepare agendas for staff meetings and trainings.

Marketing Support:
  • Assist in marketing activities, including content creation, social media management, and campaign coordination.
  • Create marketing and promotional materials, newsletters, and client email management.
  • Create weekly blogs and videos on topics related to the infrastructure industry and post to our websites and social media channels. MUST BE OK WITH ON CAMERA MARKETING
  • Develop brand strategies and create video content for online presence.
  • Work with vendors to create marketing materials and products for staff and customers, including marketing packets and "swag".

Lead Generation and CRM Management:
  • Engage in prospecting activities such as responding to inbound calls, networking, and attending industry events to identify acquisition opportunities.
  • Create automations within CRM, set up drip campaigns, and manage the distribution of leads to agents.
  • Monitor team activity and ensure data accuracy and integrity in the CRM system.
  • Survey customers by following up with active clients and prospects to ensure our acquisition team answered all questions and provided top-end pricing.
  • Assist with marketing and outreach to property owners in our database.
  • Monitor daily activity and reach out to set appointments.

Document Preparation and Confidentiality:
  • Draft, proofread, and edit documents, presentations, and reports as requested by the CEO, ensuring accuracy and adherence to company standards.
  • Handle sensitive and confidential information with utmost discretion and professionalism.

Compensation:

Base pay of $25-35/hr depending on experience. Options for commission + bonus.

Qualifications:
  • Real estate sales experience and a California real estate license (or pending license) is preferred.
  • Bachelor's degree in business administration, marketing, or a related field preferred.
  • Highly organized with exceptional attention to detail.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Excellent written and verbal communication skills.
  • Experience in marketing, content creation, and social media management.
  • Experience with CRM platforms, especially Follow Up Boss.
  • Ability to adapt to a fast-paced and dynamic environment.
  • Discreet and trustworthy, with the ability to handle confidential information.
  • Strong problem-solving and decision-making skills.
  • Positive attitude, proactive mindset, and a team player.
