Responsible for planning, organizing, and executing promotional and Trade show events to support IHSE's business growth goals. Primary duties include coordinating logistics, securing venues, managing budgets, and working closely with them to ensure event success. Will also promote Trade shows and events through various channels, handle attendee registrations, and gather post-event feedback for performance analysis. Strong organizational skills, attention to detail, and effective communication are essential in this role to ensure events run smoothly and align with the overall marketing strategy. Some of the core duties of this role include creating Trade shows / Events materials, coordinating event logistics and travel arrangements, and updating processes that ensure a successful tradeshow. This position plays a critical role in maintaining processes integral to the development, execution, and follow-up of successful educational programs and events.

Position Summary
Reporting to the Marketing and Communications Manager, this position will eventually be responsible for growing into the Marketing and Communications Manager role. The primary function of this role includes managing and updating the overall events schedule, as well as owning the organization and execution of each Trade show. We have a unique and incredible opportunity for the right person. We are building a marketing team for the next big jump. This role will report directly to the CEO and play a significant part in managing all marketing events. We are looking for individuals with a marketing background and Trade show/event experience.
We are seeking a detail-oriented and proactive individual to manage media monitoring and event coordination. This role involves planning and executing a wide variety of events for both public and internal stakeholders, maintaining and supporting outreach campaigns. Candidates with experience in Trade shows/event management campaigns are highly preferred.
Responsibilities • Assist IHSE's Marketing team in meeting company objectives. • Manage Trade shows / Events logistics, including event registration/sign-ups, attendee registrations, and hotel information. • Develop and manage event timelines for presentations and posters, communicating deadlines and requirements to key stakeholders. • Work Independently to create, and print Trade shows / Events materials including marketing collateral, banners, and business cards on time. • Organize pre-trade shows / Events and post-trade shows / Events meetings. • Prepare and ship on-site Trade shows / Events materials including literature, banners/backdrops, tablecloths, giveaways, return shipping labels, etc. • Help with Lunch-and-Learn events. • Help with lead uploads into CRM. • Proactively works to optimize the tracking and recording of business opportunities and progress. • This position may require travel by airplane and/or car up to 40 % of the year. • Coordinate sponsorships, booths, exhibits, and trade shows, and schedule attendees. • Collaborate across departments to align event objectives and stakeholder interests. • Administer daily event logistics: order placement, budget tracking, vendor monitoring, travel coordination, attendee facilitation, registration oversight, and issue resolution. • Planning and hosting industry events and attending events on behalf of the company. • Supervise and coordinate with event contractors. • Onsite execution of events including but not limited to supervising and coordinating. • Manage lead tracking and ROI measurement • Support on-site logistics, travel, and other activities as necessary. • Create a plan for each show that includes, but is not limited to due dates, responsibilities, tasks, budgets, general information, exhibitor forms & orders, shipping information, literature and promotional materials, promotion opportunities, contingency plans, and post-show follow-up information. • Develop pre and post-show communication and nurture plans in partnership with the marketing and product teams. • Manage tradeshows within a specified budget. • Work with exhibit services and external vendors to ensure all necessary products, displays, and relevant equipment are shipped to shows on time. • Administer the ordering, inventorying, and distribution of branded promotional items. • Establish relationships with industry associations and events/tradeshow teams. • Identify and explore opportunities to work with distributors and dealers on co-marketing campaigns with the respective area Managers. • Plan and implement customer receptions at trade shows • Coordinate with the legal department on edits/updates to the liability insurance when necessary • Manage the full lifecycle of event planning and execution for internal and external events, including trade shows, Trade shows/events, and corporate meetings. • Plan and coordinate logistics for up to multiple trade shows annually, including booth design, transportation of materials, and staffing. • Ensure all booth designs, materials, and activities align with the company's brand and messaging. • Create event-specific marketing plans, including email campaigns, social media promotions, and other marketing collateral. • Ensure event content and messaging are consistent with the overall brand strategy. • Coordinate all logistical aspects of events, including setup, registration, AV needs, catering, and teardown. • Act as the point of contact during events, ensuring seamless execution and addressing any issues that arise. • Organize and lead post-event debriefs to evaluate event success, analyze feedback, and identify opportunities for improvement. • Gather and analyze event data, including attendance, engagement metrics, and overall ROI. • Provide post-event reports and recommendations for improving future events. • Travel to the event sites to execute exceptional events. • Take on the role of coordinating faculty, attendees, or event logistics.
Qualifications • 3-5 years of experience in Marketing and Event or Trade Show Coordination, encompassing both in-person and virtual events is required. • Expertise in Office 365, with a strong emphasis on PowerPoint, Adobe, and Excel a must. Communication: Excellent written and verbal communication skills to craft clear messaging and collaborate with the teams. • Project Management: Ability to manage timelines, tasks, and resources for multiple campaigns and events. • Creativity: Skill in generating fresh engaging ideas for marketing promotions and content. • Digital Marketing: Proficiency in online marketing tools. • Data Analysis: Ability to interpret marketing data and analytics to optimize campaigns and report on success. • Attention to detail is a must. • Multitasking: Capable of handling various tasks and projects simultaneously while staying organized. • Degree in Marketing/Communications. • At least two years of experience in tradeshows. • Experience working in a fast-paced environment with a track record of successful execution of multiple events with competing priorities. • Highly organized, detail-focused, results-driven, and accountable with the ability to handle stress and any last-minute, urgent requests. • Excellent verbal and presentation skills. • Ability to travel for trade shows and events needed. • Experience in B2B event marketing. • Knowledge of digital marketing and social media promotion. • Coordinator for small to Large size events. • A valid Driver's License and Passport is required.
Education and Experience: • Trade show and event planning experience in a fast-paced environment a must. • Bachelor in Communications, Marketing, or other related field preferred
Travel Requirements: • Able to travel for events, which vary throughout the year. • Travel Domestic and International (required).
