Intelligent Waves is seeking an Operations Coordinator to support the Chief Operating Officer's Team with scheduling, event planning, travel coordination, and meeting logistics. The Ops Coordinator will work on varied projects, in a fast-paced, government contracting environment, with the opportunity to travel. This position interfaces with and supports executives and senior leaders. This person has a keen eye for detail, works to anticipate needs, is eager to learn, and improve their process. Given the high-profile nature of the position, the candidate should be comfortable working with confidential details and/or requirements given the sensitive nature of our business.

Travel: Ability to travel up to 15% of the time

Security Clearance: This role does not require a clearance.

Location: Hybrid between telecommuting and Reston, VA HQ

Responsibilities

- Provides administrative support to the Client Operations including the Chief Operating Officer
- Plans events, including booking venues, coordinating travel, shipping materials, and onsite logistics during events
- Collaborates on tasks and projects with the Marketing Team
- Collects, reviews and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheet, or specialized software
- Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology
- Prepares and distributes reports or other communications on a regular schedule
- Manages expense reporting and invoicing

Qualifications

• Bachelor's degree, preferred
• 3+ years experience with administrative support, experience with event planning and coordination is preferred
• Strong verbal and written communications skills
• Proven ability to be highly collaborative, and work with a variety of people at all levels
• Acts as an ambassador and liaison for the COO

• Excellent organizational skills to work independently and manage projects with many moving parts
• Experience with Executive level support preferred

• Flexibility to travel, as needed
