The University of Miami/UHealth Faculty Affairs Department has an immediate opportunity for Faculty Affairs Coordinator. The Faculty Affairs Coordinator supports the Office of Faculty Affairs and works closely with the Sr. Associate Dean (SAD) and Director of Medical Faculty Affairs in coordinating daily operations for the office and provides support in various programmatic initiatives.
Core Job Functions:
Support SAD with direct administrative tasks.
Supports the department with daily administrative tasks, i.e., composing and typing correspondence, communicating with leadership support staff to respond to routine questions regarding faculty matters and policies, and creates spreadsheets and presentations.
Provides clerical support, i.e., orders office supplies, food and beverage orders for Faculty Affairs meetings, prepares work requests for facilities, telecommunications, etc., receives, screens, and directs incoming calls and visitors, providing general support.
Manages office operations and procedures; controls correspondence; designs filing systems; reviews and approves supply requisitions; assigns and monitors clerical functions.
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Completes special assignments requiring collecting, organizing, and analyzing data for School and University leadership which may be the basis for significant decisions.
Resolves unique situations as appropriate using judgment & discretion.
Co-manages the multiple faculty affairs service mailboxes including but not limited to, the Faculty Success Admin mailbox.
Processes web edit requests for faculty profiles or routes them to the appropriate party, grants proxy access to administrators.
Trains Faculty Success New-Users on how to input data for the academic faculty profiles.
Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
Develops and maintains accurate files and upholds data integrity in database.
Collects data, distills information, and produces comprehensive reports as requested.
Coordinates events sponsored by the office or employee resources.
Processes the CME for the professional and career development series.
Remains current with university compliance, including all relevant School of Medicine and University policies, procedures, qualifications, and standards.
Adheres to University and unit-level policies and procedures and safeguards University assets.

Core Qualifications:
Education:
Bachelor's degree in relevant field
Experience:
Minimum of three (3) years of relevant experience
Knowledge, Skills and Attitudes:
Ability to accurately prepare and maintain records, files, reports and correspondence
General knowledge of office procedures and operations.
Ability to analyze, organize and prioritize work under pressure while meeting deadlines.
Ability to communicate effectively in both oral and written form.
Skill in collecting, organizing and analyzing data.
Ability to exercise sound judgment in making critical decisions.
Ability to prepare financial and accounting records.
