A full-service commercial law firm serving clients throughout Florida is seeking a full time Legal Assistant with a minimum of 3 years of experience working in an office environment. This position will assist multiple attorneys in our commercial real estate department, litigation/ administrative law department and our intellectual property department. While experience in all these areas is not required (willing to train), a willingness to learn and adapt is essential.
Responsibilities
Managing legal documents
Creating and formatting documents
Editing and tracking (i.e. "redlining") document
Managing internal and client deadlines
Assisting Real Estate paralegals to prepare attorney(s) for closings
Preparing closing binders / post-closing
Working with title insurance companies to satisfy commitment requirements
Preparing and filing of legal documents with state, county, appellate, and federal courts, and in Florida administrative proceedings (e-filing knowledge is a must)
Arranging for delivery of legal correspondence to clients, court and agency officials
Maintaining attorney calendars through Outlook (i.e. scheduling appointments, calendaring due dates, case deadlines, etc.)
Manage IP database
Making travel arrangements
Performing a variety of administrative functions such as processing new client/matter reports, preparing engagement letters, creating and filing expense reports, entering attorney time and answering phones
Organizing and maintaining paper and electronic files
Requirements
Knowledge of federal, state and county court rules and e-filing procedures
Familiar with Florida government branches
Must have excellent proofreading, document formatting, and redlining skills
Must be punctual, meticulous, organized, proactive, reliable and self-motivated
Must have the ability to manage time, plan and prioritize various assignments/projects simultaneously
Must have excellent verbal and written communication skills
Must have working knowledge of Microsoft 2016 Outlook, Adobe, Excel and advance working knowledge of Word functions.
Ability to work with a database
Ability to work in a face paced team environment while maintaining a professional demeanor
