The Administrative Coordinator of the Boettner Center provides high-level administrative support and project management support to the Executive Director, Associate Director, and the Center in various tasks that support the Center. Primary responsibilities include: administrative support, financial transactions, website and social media support, assistance with editing/proofreading, solicitations, and event coordination. The Administrative Coordinator initiates and coordinates the Center's annual fundraising campaign, working closely with the Executive Director, by determining potential donors, corresponding with returning donors, scheduling calls, drafting and sending letters, sending follow-ups, and tracking/monitoring funds received. Liaise with Wharton External Affairs when necessary.




Job Description




The incumbent manages the Center's website and social media presence as well as maintain branding standards across PRC platforms. Responsibilities include but are not limited to updating the website content for working papers, book chapters, news, and videos, drafting communications such as the biweekly newsletter, distributing publications to PRC Board Members and Partners, and adding new working papers to Scholarly Commons and SSRN. The Administrative Coordinator also processes financial transactions including travel reimbursements, payments to vendors, purchases, check and gift processing. Utilize appropriate university systems and procedures. Conduct monthly financial reconciliation and assist center with annual audit.


The Administrative Coordinator provides support during the Center's annual Symposium and biannual board meetings. This may include ordering gifts, conference materials, proofreading, and compiling board meeting materials as well as assisting the Program Coordinator. During the annual publications process, the Administrative Coordinator assists the Program Coordinator. Assistance may include proofreading and editing papers/graphs/tables using Microsoft Excel, and formatting according to publisher standards.


The Administrative Coordinator provides overall support to the Center including drafting various communications and correspondence, answering phones and directing email inquiries, distributing mail, photocopying, scanning, hand deliveries, and express shipping. Additionally, the incumbent maintains filing systems, archives documents, tracks book supplies, and issues office keys.



Qualifications



Required:


  • Bachelor's degree and 2-3 years of related administrative experience required; or equivalent combination of education and expereince..

  • Must be skilled in Microsoft Applications including Word, Excel, and PowerPoint (Access, Adobe Photoshop, InDesign, and basic HTML a plus).

  • Must also have knowledge of, or be willing to train in, various website platforms and internet technologies including: Adobe Acrobat, WordPress, and Social Media platforms.

  • The candidate must have excellent organizational skills, strong verbal & written communication skills, close attention to detail, ability to take responsibility for high-quality work produced in timely fashion, and ability to work effectively in a team atmosphere.





Preferred:


  • Experience fundraising and corresponding with potential donors in a professional manner preferred.

  • Ideal candidate must also have previous higher education experience, including knowledge of University systems including BEN Financials, Concur Travel System and other systems required to complete job functions. Willingness to train in these systems is required.
