We are conducting a search for the Executive Assistant to the Head of School.
Essential Qualifications and Functions:
Serves as a representative of the Head of School, answering questions, resolving issues, and making connections.
Provides extensive support to the Head of School, ensuring responsiveness, efficiency, and warmth.
Serves as a receptionist for the office, greeting guests, answering phones, and responding to questions.
Manages Head of School's business communication, ensuring priorities and importance are determined.
Maintains the Head of School's online calendar, prioritizing requests and resolving appointment conflicts.
Establishes systems to provide necessary background information for meetings, events, and speaking engagements.
Prepares monthly credit card reconciliation and procures appropriate original receipts.
Maintains and manages an organized and logical filing system for all documents.
Manages travel arrangements for the Head of School, organizes and coordinates catered luncheons and events.
Provides administrative support to the Board of Trustees, including correspondence, agendas, minutes/notes for Board meetings, and all logistics for meetings.
Works with the Administrative Team to coordinate workflow, facilitate projects, and plan meetings.
Reviews, edits and proofreads various documents.
Provides strategic and logistical support and management of special projects and institutional priorities identified by the Head of School.
Demonstrates a commitment to the ideals expressed in Buckley's Mission Statement.
Actively flag and problem solve constraints such as determining delegates when attendees are unable to attend and ensuring read-ahead materials are provided when required.
Accommodating last-minute changes and urgent business needs, and perform other related projects and duties as requested.
Qualifications/Experience:
Proven experience as an Executive or Administrative Assistant.
Superior organizational skills, project management experience, and logistical skills with careful attention to detail.
Well-developed interpersonal, written, and verbal communication skills.
Adaptability, honesty, self-reliance, teamwork, dependability, flexibility, willingness to listen and learn, work ethic, determination, persistence, problem-solving skills, loyalty, and congeniality.
Proficiency in managing multiple priorities strategically and under tight deadlines.
Advanced understanding and ability to use computers and technology.
Bachelor's degree required, and must successfully complete background screening and verification.
This role will require a candidate to be on site at the school 5 days per week (East 73rd in Manhatton)
Compensation is very competitive and includes a healthy benefit, vacation, and retirement package.
