The Prism Way is a nonprofit organization whose mission is to provide a holistic set of resources that engages the participation of families and communities to help heal, rehabilitate, and re-integrate justice-impacted individuals into society. We are looking for an experienced Office Manager who has a passion for working with people in the justice system to join our team at our beautiful office in downtown Los Angeles.
Experience
Individuals who have personal experience with the justice system, were formerly incarcerated (especially people who had the sentence life without parole), family members of people who are incarcerated, and crime survivors are highly encouraged to apply.
Responsibilities
Provide support to employees by giving direction on tasks and helping to create goals.
Maintain confidential personal data from clients utilizing our services.
Manage outside correspondence for services or access to institutions. Draft and compose letters to parole boards, court systems, institutions, and justice impacted individuals requesting information of services.
Establish and nurture relationships with outside organizations. Complete clearance documents and all other required forms.
Previous knowledge of the justice systems inner workings is a plus.
Manage full life cycle of MOUs. Drafting, tracking and overall organization of data.
Create and manage rental space agreements for individuals utilizing our office space.
Organize and monitor quarterly trainings for staff and employees.
Manage office schedule and calendar. Act as the primary facilitator organizing meetings and set up of calls across Teams and Zoom platforms.
Arrange and manage travel and accommodations for staff as necessary, including preparing travel cost estimates, travel and travel expense claim forms requests, and working on special initiatives as required.
Ensure office is stocked with necessary supplies and other required items to maintain the office.
Maintain cleanliness of staff kitchen. Dishes, stocking drinks and snacks as well as overall organization.
Qualifications
Bachelor's degree preferred or relevant industry experience working with justice impacted individuals.
Excellent computer proficiency and ability to use Google Suite, Microsoft Office and a willingness to assist/train team members.
Strong interpersonal and communications skills, with the ability to intelligently and credibly articulate The Prism Way's objectives and mission.
Demonstrated ability to manage multiple projects/programs at once (often with competing deadlines/demands).
