Job Title: Executive Assistant to Senior Executive
Job Description:
We are seeking a highly skilled and self-sufficient Executive Assistant to provide comprehensive support to a senior executive. This role requires someone with exceptional organizational and communication abilities, who can manage complex schedules, travel arrangements, and maintain confidential records with the highest level of professionalism. The ideal candidate is polished, proactive, and capable of working seamlessly with multiple internal teams and high-level clients.
Responsibilities:
Manage and optimize executives' calendars, including coordinating and scheduling meetings across multiple time zones.
Arrange and coordinate travel plans, including booking flights, accommodations, transportation, and handling itinerary changes as needed.
Handle expense reporting and reimbursement submissions in a timely and accurate manner.
Maintain and update database information, ensuring data accuracy and easy retrieval for reports or team use.
Draft, proofread, and edit a variety of documents, ensuring clear communication and alignment with company standards.
Manage heavy scheduling needs, balancing priorities across numerous internal teams.
Serve as a liaison between executives and internal teams, ensuring seamless communication and alignment.
Actively anticipate executives' needs, "reading between the lines" to prioritize and address tasks independently.
Qualifications:
A minimum of 4 years of experience as an Executive Assistant, preferably supporting senior-level executives.
Exceptional written and verbal communication skills, with strong proofreading and editing abilities.
Proficiency in calendar and travel management software, as well as Microsoft Office Suite and database tools.
Highly organized and detail-oriented, with the ability to manage multiple priorities effectively.
Polished and professional demeanor, with experience working directly with high-level clients.
Demonstrated ability to work independently, anticipate needs, and solve problems proactively.
