The Executive Assistant plays a crucial role in providing comprehensive administrative support to the CEO and Executive team. The ideal candidate will be energetic, highly motivated, and an excellent team player. They should have the ability to manage multiple priorities simultaneously while maintaining a keen attention to detail.
The successful candidate for this position will possess excellent organizational skills and a strong initiative to improve current processes. They should have an outstanding attitude, be highly customer-service focused, and demonstrate strong written and verbal communication skills.
Responsibilities:
Professionally represent executives and the organization to internal and external stakeholders.
Provide administrative support to the CEO in the preparation of various reports and other related initiatives and ensure complete accuracy of final products.
Maintain decorum, discretion, confidentiality and poise that are appropriate for the office of the executives & keep the CEO informed of upcoming commitments.
Proactively prepare and deliver daily briefings on key events, meetings, and other calendar items.
Coordinate and manage all travel arrangements, including itineraries and expense reports, while also organizing internal and external meetings with travel and catering setups, venue reservations, hotel contracts, agenda preparation, meeting room setups, and registration.
Develop communications to internal and external stakeholder groups. Initiate phone calls to a variety of internal and external stakeholders on behalf of the executives. Screen and prioritize phone calls for the CEO.
Be available outside regular business hours to provide support as needed.
Assist the executive team with various projects, including town hall meetings, business reviews, and other team gatherings involving the CEO
Manage board meeting schedule and be the point of contact for the board of advisors and other external stakeholders
Data management for corporate files and assisting with corporate entity structure Materials
Perform other duties as assigned
Qualifications:
Education and Experience:
Bachelor's degree in Business Administration or related field preferred.
Minimum 10 years of experience providing support to C-suite executives.
Knowledge/Skills/Competencies:
Excellent verbal, written, and interpersonal skills.
Strong organizational skills with the ability to manage workflows and projects effectively and efficiently.
Capable of working independently to complete job duties before escalating issues; proactive in initiating administrative improvements.
Ability to thrive in high-pressure situations while collaborating effectively within a team environment.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
