We are looking for an Administrative Assistant to join our team. The ideal candidate will provide a variety of office support services; assist with loan processing and real estate transactions and ensure a smooth, easeful and efficient office workflow. The right candidate will have the ability to find and develop improvements to productivity, enjoy learning and be flexible and adaptable to the needs of the business. Prior experience in a real estate related office would be ideal and an eagerness to learn and grow.
Job Duties:
The Administrative Assistant is responsible for assisting with the daily needs and operations of the Company that may include, but is not limited :
General Office Duties - ordering office supplies, processing incoming and outgoing mail, maintaining schedules, arranging travel, filing, responding to basic client inquiries, processing expense reports, and other general office duties.
Loan Coordination and Support- Open escrow and title, order credit checks, coordinate legal document requests, review settlement statements, perform initial reviews of loan draw materials and fund control set-up, review Zoho system and make entries, loan onboarding.
Marketing Administration- Coordinate social media and marketing activities, perform preliminary review of marketing material, assist with campaigns
Client Relations- Manage investor and borrower gifts, thank you cards, holiday cards and appreciation events.
Compliance Support Administration- compliance audits, federal form filings, NMLS quarterly & MCR reports and renewals, CFL annual report, CA SOS filings
Local travel during work hours as needed (post office, office supply store, etc.)
Skills/Qualifications/Requirements:
The successful candidate will be a problem solver, a good communicator, show attention to detail, have the ability to predict next steps, and be very organized.
2 years office related experience.
Typing, math and critical thinking, accurate spelling and grammar, strong organizational skills.
Computer literacy working knowledge of Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
Prior experience with real estate, loan servicing and event planning are a big plus.
