Currently seeking an experienced, highly motivated, and organized Administrative Supervisor to join our client, a prestigious global law firm renowned for its innovative legal solutions in their San Francisco office. As the Administrative Supervisor, you will play a key role in managing the day-to-day operations of the firm's multiple offices across California, including San Francisco, Palo Alto, Orange County, and San Diego. Under the guidance of the Senior Administrative Manager, you will be responsible for ensuring seamless administrative functions and driving firmwide initiatives at the local level.

Key Responsibilities:

  • Supervise and guide the daily workflow, resource allocation, and priorities for office functions in multiple locations.
  • Oversee administrative operations for local departments, including Client Service Specialists, Office Services, Records, Facilities, and Reception.
  • Implement and execute firmwide initiatives, projects, programs, and events (e.g., office moves, security, and resource management activities).
  • Plan and coordinate office events, ensuring smooth execution from start to finish.
  • Participate in the hiring, onboarding, and integration of administrative staff, including conducting interviews and managing orientation schedules.
  • Act as a liaison between internal departments and external vendors, maintaining strong professional relationships.
  • Maintain administrative files, spreadsheets, and databases; generate reports and presentations as required.
  • Assist with office moves, staffing changes, and budget management.
  • Provide support for special projects and other assigned duties as needed.
  • Collaborate with teams to support the success of associates and staff, both locally and firmwide.

Required Skills & Expertise:

  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • In-depth knowledge of office administration, facilities, records management, and reception procedures (legal environment experience preferred).
  • Strong organizational and multitasking skills with the ability to manage multiple projects and deadlines.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent communication and interpersonal skills to effectively collaborate with staff and vendors.

Qualifications:

  • Bachelor's degree preferred.
  • Minimum of 4 years of supervisory experience (preferred).
  • At least 6 years of experience in a legal environment (required).
