Overview of Role:
This position is a full-time role based in the ET Office in Tinley Park, IL, focused on delivering construction project administrative services to the company ,particularly in areas of corporate compliance and customer service. The individual in this role will offer administrative support to support projects, facilitate the smooth functioning of the office, and manage both paper and electronic files efficiently. Furthermore, the role involves supporting all managers with the preparation of proposals, qualification statements, and presentations for both internal and external clients.
Major Construction Project Administrative Areas of Responsibility:
PROJECT START UP - Request subcontractor Certificates of Insurance, Permits, Arrange Corporate housing, car rentals and flights for Superintendents, obtain proof of renter's insurance as required, other duties as required.
JOB SITE SET UP - Obtain quotes from rental vendors for job site trailers, portable toilets, Ship safety equipment, trailer supplies, ET signage as needed, OSHA and Federal/State posters, other duties as required.
CONSTRUCTION - Prepare ,process, distribute, follow up, track and file Contract Documents, Contract Change Orders, Bare Rental Agreements, Subcontractor Work Orders, Purchase Orders, Agreement Information Letters, Process Invoices and Applications for Payment, ensure we have COI and W-9's from subcontractors and vendors - Verify accuracy, other duties as required.
Develop and maintain Project Subcontractor Log for tracking- Contract Agreements, Subcontractor Insurance, Agreement Change Orders, Invoices, Track and ensure that proper ET Environmental and Subcontractor documents are in place, prior to starting and during the work, such as: Executed Contract Documents, ET's Health & Safety Plan, ET and Subcontractor Insurance Certificates, Subcontractor W-9's, Manage safety equipment, Prepare and process contract Close Out Documents at the end of a project.
Desired Qualifications / Skills:
College or associate degree in Business Administration, Accounting, Construction, Engineering
Advanced knowledge of Microsoft Office suite (Word, Excel,PowerPoint, Outlook, Teams,SharePoint), Adobe Acrobat Pro or Bluebeam
Web-based program knowledge is desired (Procore, Smartsheet)
Engaging in active listening by fully focusing on what others communicate and inquiring for clarifications when necessary.
